POSITION: Receptionist/Administrator

HOURS & PAY: 39.5 Hours per week, term time only plus 8 days in summer holidays. Mon – Thur from 7:30am - 4pm and Fri from 7:30am to 3:30pm

PURPOSE OF ROLE:
To provide a full reception/administration service for the school reception under the direction of the Assistant Principal. This includes tracking and monitoring student attendance, conducting follow-ups through calls, and collaborating closely with the Designated Safeguarding Lead (DSL) to ensure student well-being and safeguarding.
MAIN ACTIVITIES:
* Work under the direction of the Assistant Principal and School Business Manager on all required administration tasks.
* Responsible for reception duties, including manning the telephone system, dealing with telephone calls and messages, greeting visitors, taking deliveries, and controlling entry to the school.
* Provide a professional, courteous, and friendly ‘meet and greet’ service to the school’s stakeholders, including pupils, parents, teachers, sponsors, and other visitors.
* Deal with the distribution of incoming post and dispatch of outgoing mail.
* Responsible for the administration of attendance registers, ensuring accuracy and timeliness, making first-day calls to absent students, and following up on unresolved absences.
* Collaborate with the DSL to monitor attendance concerns, escalating issues for early intervention when needed.
* Assist with student enquiries in reception.
* Provide administrative support for school functions and events such as Parents' Evenings, Open Evenings, and other school events.
* Manage student data collection sheets and update student records on SIMS.
* Serve as the school’s designated Medical First Aider, providing first aid assistance when required.
* Perform photocopying and other general administrative duties as needed.
* Play a full part in the life of the school community, supporting the school’s priorities and ethos, and encouraging staff and students to do the same.
* Undertake personal professional development activities as agreed.
