Key Information
* The successful candidate will be supported to complete a Level 3 CIPD through an apprenticeship.
* This role is 40 hours over 5 days per week, with 4 days in the office at Newport Pagnell.
* The first stage interview will be an Assessment Centre in a group setting.
What does the role involve?
As a People (HR) Coordinator, you'll be part of our People team. You will support a combination of operations regions and head office departments to:
* Provide administration support for resourcing to both operations and Head Office, including placing and checking requisitions, reviewing candidate pipelines, providing feedback to hiring managers, resourcing candidates on external platforms (such as Indeed, LinkedIn, and Reed), contacting candidates, and responding to resourcing queries on Zendesk.
* Provide administration support to the People Business Partners, including Right to work management, Occupational Health administration, policy support, and management of the Zendesk system, highlighting to the relevant PBP when they have an ER case that needs to be managed.
Responsibilities:
* Be familiar with our People Policies and our lunar and weekly contracts ensuring consistency and accuracy.
* Respond to all queries in a timely manner adhering to the SLA.
* Manage the right to work reminders for the sites within your regions ensuring visas are updated in a timely manner or appropriate action is taken.
ER administration support
* Effectively use the ER reporting framework (Zendesk), keeping copies of all relevant paperwork and providing reports to the People Business Partners.
* Develop an SLA for time frame for responses for ER cases, introduce and manage help desk and calls in line with the SLA.
* Work closely with the Head of People and People Business Partners to establish and report on themes and trends, issue resolution, and approach to preventative action in a complex business.
* Escalate serious/high-risk cases to the relevant People Business Partner, including Right to work checks that will expire within the next 2 weeks.
* Monthly Trust ID checking and reporting.
* Update Member queries, new members, closed account queries, and Cycle to work approvals.
Training and Development
* Highlight Managers who need to be coached face to face by the People Business Partner.
* Develop and promote the use of Journey (particularly documents) as a self-help stage for all Managers.
Administration, reporting, process, and projects
* Drive queries and administration.
* Occupational Health administration, liaise and advise sites regarding OH referrals, including gaining authorisation and requesting reports.
* Provide monthly reports to PBP and sites regarding Right to work, NMW, to ensure compliance.
* Working with the People Data Insights Analyst complete the regional presentations for the People Business Partners in a timely manner.
* Forwarding Zendesk queries to the relevant person, payroll, pensions, or IT.
Resourcing support
* Provide excellent support to the Sites/Head Office, to ensure resourcing administration support is provided.
* Raise requisitions ensuring that all job requisitions are uploaded in a timely manner.
* Liaise with the sites with multiple adverts to ensure that the adverts are placed effectively.
* Review live recruitment ads and liaise with the recruiting line managers to ensure all candidates are being processed correctly and in a timely manner.
* Liaise with the People Business Partners/Regional Operations Directors to arrange interviews for management.
* Administration of the psychometric tests.
* Review adverts and ensure the candidates receive the appropriate communication.
* Analyse Resourcing data, such as turnover, retention, new hires, etc., to produce management information to inform and influence the relevant People Business Partners.
* Support seasonal recruitment – primarily Admin work to be faster/more efficient.
