About the role:
As a PA providing support to the Executive Director (ED) South, you will provide comprehensive and proactive support to the Director, ensuring efficient management of their daily schedule by coordinating meetings, appointments, and engagements. You will take responsibility for preparing and organising all necessary documentation, including meeting papers, reports, and briefings, ensuring the Executive Director is fully prepared for each commitment.
Administrative duties will extend to handling monthly expense reporting, processing credit card reconciliations, and ensuring accurate and timely record-keeping of financial transactions. Additionally, you will be responsible for preparing and distributing meeting agendas, minutes, and action points to all relevant stakeholders, ensuring that all meetings run smoothly and efficiently. As part of managing the agile workspace environment, you will oversee the booking of breakout rooms, ensure shared spaces are well-maintained, and help facilitate smooth operations within the office. Your coordination skills will be essential in managing the Surrey Duty Manager Rota, ensuring adequate coverage and alignment with operational requirements.
You will work collaboratively and flexibly within the Executive Administrator Team, stepping in to provide cover and support where necessary, ensuring that the team's high standards of service and efficiency are consistently met. Throughout your role, you will maintain a strong focus on delivering exceptional customer service to all internal and external stakeholders, ensuring their needs are met promptly and with the utmost professionalism, all while upholding the organisation’s commitment to high-quality standards.
This is a permanent, Full-time role, based at our Guildford College campus. Travel between campuses will be required.
