The Office Manager will be responsible for managing daily administrative and financial tasks, fostering relationships with vendors and suppliers, and supporting employees across various departments.
Key Responsibilities:
1. Accounts Receivable:
- Oversee invoicing and collections.
- Track outstanding payments and ensure timely follow-up with clients.
- Maintain accurate records of incoming payments.
2. Accounts Payable:
- Process and monitor vendor invoices for payment.
- Reconcile statements and resolve discrepancies with vendors and suppliers.
- Manage expense reports and ensure timely disbursements.
3. Payroll Management:
- Prepare and process employee payroll accurately and on schedule.
- Maintain payroll records and ensure compliance with applicable regulations.
- Address and resolve payroll-related inquiries from employees.
4. Vendor and Supplier Relations:
- Serve as a point of contact for vendors and suppliers.
- Ensure timely communication and resolution of any issues.
5. Employee Support:
- Assist with onboarding new employees and maintaining personnel records.
- Act as a liaison between employees and management regarding office policies and procedures.
- Address employee concerns and provide administrative support as needed.
6. General Office Management:
- Oversee the day-to-day operations of the office, ensuring it runs efficiently.
- Order office supplies and manage inventory.
- Process all incoming correspondences.
- Process all incoming sales leads and assign to sales personnel.
- Ensure compliance with company policies and procedures.
Qualifications:
1. Proven experience in office management, administration, or a related role.
2. Familiarity with accounts receivable, accounts payable, and payroll processes.
3. Proficiency in office software, including Microsoft Office Suite (Excel, Word).
4. Proficiency in accounting/payroll software (QuickBooks, Sage).
5. Strong organizational and multitasking abilities.
6. Excellent interpersonal and communication skills.
7. Ability to handle sensitive information with confidentiality.
8. High attention to detail and accuracy.

Monday to Friday, 8:30 am - 4:30 pm
