Our client based in Feltham is looking for a Document Admin Assistant who will be responsible for providing administrative support and ensuring efficient document management within an organisation. Key Responsibilities 1. Logistics Coordination Manage the MRP Sofeware Schedule and monitor the transportation of goods to and from various locations. Liaise with freight forwarders, carriers, and third-party logistics providers to ensure timely deliveries. Track shipments and resolve any delays or issues that may arise during transit. Manage import and export documentation, customs clearance, and compliance with international shipping regulations. 2. Administrative Support Maintain accurate records of shipments, delivery schedules, and inventory levels. Prepare and process purchase orders, invoices, and shipping documents. Update internal systems with shipment statuses and delivery confirmations. Organise and file all logistics and production-related paperwork for easy retrieval and audit purposes. 3. Inventory Management Assist in tracking and reconciling inventory levels to ensure stock accuracy. Coordinate with the warehouse team to manage inbound and outbound shipments. Report stock discrepancies or shortages and assist in resolving them. 4. Communication and Coordination Act as the point of contact between suppliers, carriers, and internal departments. Communicate delivery schedules and potential delays to stakeholders. Coordinate with the sales and production teams to align logistics with business needs. 5. Compliance and Quality Assurance Ensure that all shipping and logistics processes comply with company policies and legal regulations. Monitor adherence to safety standards and quality protocols during transportation and storage. Conduct regular reviews of logistics processes to identify areas for improvement. Skills and Qualifications Technical Skills: Proficiency in logistics and inventory management software (e.g., SAP, Oracle, or similar systems). Knowledge of international shipping regulations and customs procedures. Familiarity with transportation management systems (TMS). Interpersonal Skills: Strong organisational and multitasking abilities. Effective communication skills to liaise with diverse stakeholders. Problem-solving aptitude for handling logistical challenges. Educational and Professional Background: Bachelor’s degree in logistics, supply chain management, or a related field (preferred). Previous experience in logistics, supply chain, or administrative roles. Additional Requirements: Attention to detail and a commitment to accuracy. Ability to work under pressure and meet tight deadlines. Basic understanding of financial processes related to invoicing and budgeting. our control.
