Job Description
Our client, a leading European mid-market private equity firm based in the heart of London’s West End, they are known for their innovative approach and collaborative culture. They are now looking for a personable and pro-active Receptionist to be the welcoming face of their firm.
The Role
As the Receptionist, you’ll work closely with the Office and Facilities Manager to support daily operations across two offices. This is a front-of-house role where you will represent the firm’s professional ethos, working across a shift pattern of either 8:00am–5:00pm, 8:30am–5:30pm, or 9:00am–6:00pm. This is an exciting opportunity for someone with a background in reception or front-of-house within a corporate setting, who’s looking to join a dynamic and supportive team environment.
Key Responsibilities
* Providing a warm and professional welcome to visitors, clients, and staff
* Managing incoming and outgoing post and deliveries across both office sites
* Ensuring the reception and office areas are maintained to a high standard at all times
* Managing meeting room bookings and reception inbox
* Manage visitor check-in processes, including signing in, issuing visitor badges, and notifying relevant staff members.
* Offer refreshments to clients and guests, ensuring they feel comfortable while waiting.
* Manage a multi-line switchboard, screening and directing calls to the appropriate personnel. Take accurate messages and ensure timely follow-up on client calls.
* Coordinate with the wider team to relay critical information promptly and discreetly.
* Oversee bookings for multiple meeting rooms, avoiding conflicts and ensuring smooth transitions between meetings.
* Perform checks to ensure AV equipment is working and any specific requirements for presentations are met.
* Organise additional catering or specific requests for high-priority client or investor meetings.
* Assisting the Office/Facilities Manager in the smooth running of day-to-day office operations
Candidate Requirements
* Previous experience in a reception or front-of-house role, ideally within a corporate environment
* Outstanding communication and interpersonal skills, with a polished and professional approach
* Strong organisational skills and the ability to prioritise tasks
* High attention to detail and a proactive, team-oriented attitude
* Proficiency in Microsoft Office (Word, Excel, Outlook)
