Location: Hybrid Salary Details: Depending on Experience Advertising End Date: 10 Jan 2025 Applications may close early if we receive a high volume of suitable applicants About The Role Position Overview As an Estates Manager at Ecotricity, you will be responsible for the effective management and maintenance, repair and improvement of our portfolio of buildings and grounds, ensuring they operate smoothly, efficiently and comply with all associated legislation and statutory obligations. Your role will be crucial in upholding our high standards of sustainability and functionality across all sites. We are seeking a dynamic and experienced Estates Manager to oversee and manage all our properties across multiple locations including our Stroud offices, our industrial estate (Q Park) in Nailsworth, our satellite offices in Louth (Lincolnshire) and our buildings at Forest Green Rovers Football club and training ground. Key Responsibilities Property Maintenance and safety Develop and deliver Group Estates strategy plan to ensure asset value protection and excellent operational capability. Be responsible for ensuring Risk Assessments are in place for all appropriate activities relating to Estates and ensuring regular periodic reviews are undertaken with the risk assessments being updated. Conduct regular inspections of buildings and grounds to identify maintenance needs in a timely manner to enable accurate budget forecasting. Ensure the effective functioning of building services, such as heating, ventilation, and security systems at all times across Group. Coordinate and oversee repairs and maintenance tasks, ensuring timely and cost-effective solutions. Maintain accurate and timely records for all relevant sites, ensuring that pre-planned (Preventative) maintenance activities are carried out effectively and on time across all sites. Ensure all properties comply with relevant regulations and safety standards, including health and safety, environmental, and building regulations. Ensure work/inspections and testing schedules, including risk assessments, are in place with standard operating procedures for all maintenance works with compliance paperwork kept secure and up to date. Maintain accurate records of inspections, maintenance activities, and compliance certifications. Be responsible for managing all aspects of Premises related health and safety matters within Group including risk assessments, fire safety and emergency planning. Advise the CEO and Boards about any health and safety concerns and any updates to legislation and the subsequent development and review of Estates policies and procedures, including relevant amendments to the Health & Safety Policy and Estates Management Policy. Effectively manage security across all sites to ensure site and colleague safety. To lead on compiling and implementing a Premises Plan for each site, including energy conservation, maintenance and redecoration schedules in line with Group Estates Strategy Plan. Cost and Contractor Management Manage Cost Centres for all Premises expenditure including maintenance, repairs and upgrades within budgets set, obtaining best value on procurement in accordance with our ethical and sustainability commitments. Lead on the preparation of contract specifications and development of service contracts. Oversee the selection and management of external contractors and service providers for Estates and property maintenance. Be responsible for securing appropriate licences, warranties and insurances, as required. Liaise with external contractors and service providers for maintenance, repairs, and other estate-related services. Oversee the quality and performance of work carried out by external contractors ensuring standards and cost adherence and certifying that work has been satisfactorily completed, then authorise payment of invoices. Agree annual budget priorities and prepare maintenance and capital expenditure plans in a timely and accurate way, then ensure activities are completed on schedule and within budget. Sustainability and environmental impact management Ensure all estate management practices align with Ecotricity’s sustainability goals. Work closely with the Places Team and EMS/Sustainability team to implement eco-friendly practices and improvements across all sites. Stakeholder Collaboration - Liaise with internal teams across all areas of the business, including operations, sustainability, and Forest Green Rovers, to ensure cohesive management of all buildings. Reporting - Prepare monthly reports on maintenance activities, compliance status, and budget expenditures for the Places manager to provide senior management. Identify opportunities to enhance the environmental performance of the buildings. Manage waste and recycling programs linked to building / grounds maintenance to maximize efficiency and minimise environmental impact. Support with monitoring and organising of documentation or actions required for ESOS, ISO14001 to help ensure compliance. Manage the procurement of goods and services related to estate management, ensuring value for money and sustainability. Project Management Plan and execute building or grounds refurbishment and improvement projects in line with Group needs. Undertake key estates projects in line with Board direction and agreed Estates strategy plan. About You Proven experience in estates management across multiple sites of differing purposes. Strong understanding of sustainable practices and environmental management within Estates and Maintenance. Demonstrable experience of contractor / vendor selection and management. Excellent knowledge of health and safety Excellent problem-solving and organisational skills. Demonstrable experience managing multiple building projects. Ability to manage multiple tasks and projects simultaneously. Qualifications in Buildings or Estates Management would be advantageous. Knowledge of health, safety, and environmental regulations – professional H&S qualifications would be advantageous. Strong communication and negotiation skills. Proficiency in using property management software and other relevant IT tools. Valid driver’s license and the ability to travel between sites as required.
