Founded in 1981, Shropshire Homes has produced more than 3,000 homes and expanded in recent years to a £50m turnover business producing approximately 200 homes per year. Operating from its base near Shrewsbury and working in Shropshire and adjacent counties, the business focuses on building quality homes in prime locations. Shropshire Homes work on a variety of projects from select developments of 4 & 5 bed detached homes to high quality apartments and large developments incorporating a wide range of house types.
As part of this long tradition of building quality new homes, Shropshire Homes Management Services has been formed to maintain the open spaces and communal landscaping that is created within the developments that Shropshire Homes build.
The Role:
Shropshire Homes Limited is looking to recruit an Office Manager. Reporting to the Sales & Marketing Director, the Office Manager plays a crucial role in ensuring the smooth and efficient operations of the office environment. This role involves overseeing various administrative tasks, managing office resources, and coordinating office activities to create a productive and organised workspace.
Contract:
This is a permanent, full-time position – 8am – 5pm Monday through Thursday [with 30 minutes for lunch] and 8am – 4pm on Friday.
You can expect a competitive salary, 22 days annual leave + bank holidays, death in service, up to two volunteering days (subject to authorisation), salary: £30,000-£35,000 DOE, plus a discretionary annual bonus.
Key Skills and Qualifications:
* Excellent organizational skills and a high attention to detail
* Strong IT skills particularly with Word and Excel.
* Good communicator, approachable and polite, and able to work across all levels of the organisation
* Knowledge of the construction and house building industry would be useful but is not essential as full training will be provided
* Being a hands-on individual and having worked in a previous construction role would be an advantage.
* Able to problem solve and make decisions in line with the level of responsibility.
* Able to plan and coordinate multiple tasks.
* HR experience.
Key Responsibilities:
* Correspondence on behalf of Directors and senior managers
* Maintain and update office policies and procedures for improved efficiency
* Deal with HR administration and implementation
* Enforce Health & Safety regulations, creating a secure and compliant work environment including chasing annual PQQ paperwork
* Liaise with external partners, clients and stakeholders as required
* Warmly greet visitors, answer and direct phone calls promptly, fielding cold sales calls
* Maintain meeting room and reception area – including providing visitors with drinks and giving H&S induction details. Ensuring area is clean, tidy and clear of clutter and rubbish
* Perform a variety of administrative duties, such as generating VOS, letters, spreadsheets, sorting and responding to emails
* Ensure complaints are dealt with effectively
* Preparation of handover files for open market customers and housing associations
* Uploading documents [benchmarks and instruction manuals] to portal for customer access
* Scanning audits etc onto bespoke company portal
* Utility Change of Responsibility – advise relevant utility companies and internal departments of meter readings and new owners. Included in this process is monitoring of reading returns from site, updating internal client list, HBP Inspection and Activity tabs to activate NHBC cover
* Preparation and Issue of drawings
* Monitoring stationery supplies – producing order for stock and distributing to stock cupboard for Head Office or to site and sales offices
* Office facilities – monitoring and ordering office, site and sales supplies. This can include catering supplies, uniform, office cleaning and valeting of cars
* Maintain client databases; track accounts; Assist other departments with internal documents as requested
* Weekly fire alarm test
