Purpose of the Role:
The key purpose of the role is to assist in the operation of the purchase ledger, ensuring accurate and timely processing of invoices and credit notes, enabling supplier payment terms to be met.
As part of our continuous improvement to be cost cap competitive, the role will be an important part in identifying and driving transformation within the finance function, in order to streamline and maximize resources.
Principal Accountabilities:
1. Matching and processing both GBP and foreign invoices and credit notes, ensuring they are coded correctly.
2. Reconciliation of supplier statements.
3. Liaising with internal staff and external suppliers.
4. Dealing with supplier queries.
5. Running fortnightly BACS payment runs and checking bank details are up to date.
6. Setting up new suppliers on the system and sending any bank details off to be verified, in line with anti-fraud processes.
7. Assisting in month-end tasks such as invoice accrual, VAT accrual, contractors accrual, DPO, and Intrastat.
8. Completing the monthly deferment statement.
9. Submitting payment practices and performance report bi-annually.
10. Preparation and posting of fuel invoices, ferries, shipping, and sixth invoices.
11. Liaising with the buying team to resolve any queries on prices or quantities.
12. Supporting the month-end process and delivering high-quality output.
13. Filing company data in a logical and methodical order.

1. Ability to communicate effectively, both verbally and in writing, with internal and external stakeholders. Able to escalate any significant matters to management on a timely basis.
2. Excellent analytical and problem-solving skills with strong attention to detail.
3. Proactive mindset and strong organizational skills with the ability to work independently and manage multiple priorities in a dynamic environment.
4. Persistent when resolving issues.
5. Good at questioning and spotting irregularities.
6. Team player, supportive of others within the team.
7. Comfortable working in a fast-paced environment.
8. Competent IT skills, including but not limited to Microsoft Word, Excel, and PowerPoint.
