Job summary Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way. Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone. Job responsibilities, Deal with all general enquiries, explain procedures and make new and follow-up appointments. Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed. To ensure courteous, efficient and confidential handling of patients enquiries and requests. Efficient and prompt filing, record keeping, message taking and distribution of documents. Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same. Opening/closing of premises where appropriate, including setting the alarm. Restoring the telephone to normal daytime use/diverting telephone calls to the Out of Hours Service, where appropriate. Dealing with mail (both electronic and paper). Ensuring all Consulting Rooms are fully stocked before surgery. Use of computer for appointments, registrations, viewing pathology results, other data input. Production of the clinical rotas. Input of accurate data onto clinical computer system and coding of patient correspondence where necessary, including scanning. Undertaking filing of paper records when required. Receiving and directing patients. Taking patient requests for appointments, visits, test results, messages etc. Welcoming new patients, explaining practice procedures, completing necessary paperwork and associated data input on the computer. Be prepared to undertake training as necessary. Be prepared to attend and participate in regular team meetings (to include Staff Meetings and Receptionists meetings). Ensure smooth handover of staff and any relevant messages. Be flexible in working hours to allow smooth functioning of surgery at times of illness/holidays etc. To keep surgery tidy, in particular the office, reception area and Waiting Room.
