We are looking for a highly motivated individual to become part of our expanding Diabetes and Endocrine Secretarial Team at Pilgrim Hospital. The Medical Secretary is the hub of effective patient administration in the Business Unit and underpins the patient journey by supporting our clinical teams in delivering a high quality of patient care as well as making a difference to the patients journey. The effective and efficient patient administration supports management through ensuring a high standard of data quality and by making the best use of capacity and resources. The post holder will report to the Specialty Co-ordinator and ensure the CQUIN typing target and validation is completed accurately and in a timely manner.
Main duties of the job
* Deal with urgent and routine correspondence and tasks in accordance with agreed practice and CQUIN standards including typing of clinic audio tapes, letters, medical reports, references, rotas and general correspondence including administration when necessary, minutes of committees/meetings attended by their Consultant.
* Prospectively ‘pulls’ patients through their pathways to minimise delays, escalating potential capacity issues and solutions to Specialty Co-ordinator for discussion / approval with the Consultant team.
* Works with Choice & Access to arrange clinics cancellations, ensuring clear instructions are given to re-appointing patients, escalating capacity issues to the Specialty Co-ordinator for discussion with the Consultant to avoid delays in patient pathways.
* Deal with enquiries by letter/fax/e-mail/telephone from patients, GP’s other hospitals, police, solicitors (via medical records/legal department) other consultants and management.
Person specification
Qualifications
* Typing and/or Word/Text Processing Skills
* Proficient in English both written and oral even if not your preferred language
* Text Word processing & audio skills to RSA II or equivalent.
* GCSE or other equivalent qualification in at least four subjects that include Mathematics and English.
* Business Admin NVQ II or equivalent or willing to work towards this while in role
* AMSPAR – Medical Terminology Certificate
Previous Experience
* Previous experience in office environment.
* Diary Management
* Experience of working in a large healthcare organisation
* Some knowledge of Careflow system
* Some knowledge of 18 week RTT
Skills
* Ability to complete tasks accurately and efficiently.
* Ability to work on own initiative and prioritise workload to achieve deadlines.
* Good written and verbal communication skills.
* Ability and confidence to communicate at all levels.
* Ability to operate office equipment, e.g. MS Teams, shared drive access, emails etc.
* Knowledge/Awareness of key values and behaviours in line with the Trust framework.
