The Sales Support Coordinator role is critical to ensuring the accurate gathering, maintenance, and reporting of commercial information that underpins our organization’s success. You will be responsible for maintaining and updating sales data in our CRM system, preparing quotations in line with company standards, and collaborating with various departments to support the wider commercial team ensuring our company is consistently and professionally represented. Attention to detail and strong communication skills are essential, as you will liaise with internal stakeholders across multiple functions to deliver timely, accurate, and strategic insights. Job Requirements Key Responsibilities CRM Management & Data Integrity Maintain and update the Sales CRM system, ensuring all sales data is accurate, up-to-date, and aligned with business requirements. Regularly audit and cleanse the CRM database, identifying and correcting data discrepancies to uphold data quality. Quotation Preparation Prepare quotations as directed by commercial leaders, ensuring consistency in branding, format, and pricing structures. Liaise with relevant stakeholders (finance, operations, commercial teams) Track the quotation lifecycle, from initial request to acceptance or rejection, maintaining clear records of all activities conducted by the commercial teams. Reporting & Analysis Compile and produce monthly commercial reports, including sales performance, pipeline updates, and key metrics. Use advanced Excel skills to create dashboards, pivot tables, and data visualisations that aid decision-making. Prepare PowerPoint presentations for internal and external stakeholders, ensuring clarity, professionalism, and brand compliance. Exhibition & Event Support Assist the Marketing and Commercial teams in planning and executing exhibition participation, Take the lead on ensuring the organisation is prepared for client visits, including scheduling, site readiness, and hospitality. Collaboration & Cross-Functional Coordination Work closely with the commercial, marketing, and operational teams to gather information, address queries, and resolve issues. Coordinate with the Internal Key Account Managers to ensure consistency in customer communication and pricing. Support the Strategic Key Account Management and Regional Sales teams by providing timely data updates, forecasts, and sales insights. Continuous Improvement Identify and implement improvements to existing processes, systems, and reporting methods, leveraging feedback from internal stakeholders. Stay informed of best practices and emerging technologies in CRM and data management, sharing insights with the broader team. Compliance & Documentation Ensure that all commercial documentation (quotations, contracts, etc.) adheres to company policies and regulatory requirements. Maintain organised records of all relevant documentation, including version-controlled templates and historical pricing data. Candidate Requirements Education & Experience Proven experience in a sales support or administrative role, ideally within logistics, cold chain, healthcare, or a similar sector. Advanced proficiency in Excel (pivot tables, VLOOKUP, data analysis) and strong skills in PowerPoint. Experience with data visualization tools such as Power BI (or similar) to present insights effectively would be advantageous, although training could be provided. Skills & Competencies Attention to Detail: Meticulous approach to data entry, reporting, and documentation. Organisation & Time Management: Ability to manage multiple tasks and deadlines in a fast-paced environment. Collaboration & Communication: Excellent interpersonal skills; able to work effectively across different departments and levels. Analytical Mindset: Capable of interpreting data to identify trends and inform strategic decisions. Tech-Savvy: Familiarity with CRM systems, Microsoft Office Suite, and other relevant software tools. Adaptability: Comfortable with changing priorities, demonstrating flexibility and initiative. Additional Requirements Willingness to travel occasionally for exhibitions, events, or training sessions if required. Knowledge of basic design or layout software (e.g., Adobe InDesign) is a plus but not essential. A proactive and solution-oriented mindset, eager to innovate and improve processes. Key Performance Indicators (KPIs) Data Accuracy: Quality and completeness of CRM entries, quotation details, and reporting outputs. Timeliness of Deliverables: On-time preparation of quotations, monthly reports, and event-related tasks. Stakeholder Satisfaction: Positive feedback from commercial, marketing, and operations teams, measured through internal surveys or performance reviews. Exhibition & Event Success: Effective coordination and execution of events, measured by feedback from attendees and commercial leaders.
