Job Summary:
We are seeking a highly organised and detail-oriented Office Support Supervisor to join our team. The Office Support Supervisor will be responsible for providing administrative support, managing office operations, and ensuring efficient day-to-day functioning of the office. The ideal candidate will have excellent organisational skills, strong attention to detail, and the ability to multitask effectively.
This role would suit a former PA or a person with previous office management experience or working in a scheduling / operations role.
Duties:
1. Perform general administrative tasks such as answering phone calls, responding to emails, handling correspondence, and managing the meeting rooms and training academy.
2. Maintain office supplies inventory and place orders as needed.
3. Coordinate and schedule meetings, appointments, and training.
4. Assist with data entry, record keeping, file management, and file audits.
5. Prepare reports, presentations, and other documents as required.
6. Manage office calendars and ensure timely completion of tasks and deadlines.
7. Assist with care system updates.
8. Provide support to other team members as needed including recruitment meetings and telephone quality audits.
Qualifications / Skills:
1. Good standard of education Grade C / above for maths and English.
2. Proven experience in an administrative role.
3. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and social media platforms.
4. Strong organisational skills with the ability to prioritise tasks and meet deadlines.
5. Excellent written and verbal communication skills.
6. Attention to detail and accuracy in all work.
7. Ability to maintain confidentiality of sensitive information.
8. Strong phone etiquette and customer service skills.
9. Ability to perform clerical tasks such as filing, photocopying, and scanning documents.
10. Comfortable working with IT systems.
