Job Description Summary We have an exciting (one year fixed term contract) opportunity in GE Healthcare Pharmaceutical Diagnostics Integrated Supply Chain for a global Administrator. This maternity cover role supports three function leaders across our global Supply Chain team in areas such as Scheduling & calendar management, travel planning & expense reporting and correspondence & communications management. You will play a key role in our administrative team, and member of the Global ISC Functions Leadership team - helping us to build a world class Supply Chain and progress on our journey from Good to Great. Job Description Responsibilities - Extensive Calendar Management, booking travel, arranging visas, taxi's and preparing travel itineraries - Assist Function Leaders with workflow and prioritization, adhering to deadlines - Process expenses in line with company policy, monitoring travel spend to support our savings funnels - Manage multiple priorities and provide ad-hoc project support - Provide Event logistical support for internal and external meetings / offsites - Support supplier engagements, including logistics, meeting minutes and post-event follow up - Craft, evaluate and modify emails, letters, agendas, Townhalls (and other forms of communication) on behalf of your Function Leaders to help accelerate a culture of excellence to inspire and engage colleagues to deliver results - Prepare and share internal communication campaigns to recognize success and foster an environment of belonging - Establish and develop strong relationships with the administrative staff and global functions to facilitate exchanges - Provide discreet and confidential coordination of sensitive business information - Prepare presentation materials, produce reports, and maintain files/documents - Lead team training on process flows and administrative software tools for functional teams - Liaise with HR, Talent Acquisition to support a smooth and efficient recruitment, onboarding and offboarding process - Raise and receipt PO's on behalf of Global Function Leaders, Admin lead and Cork site - Up to 10% Travel attending team Offsites Qualifications and Requirements Alongside experience in a similar role and excellent communication skills, you should be confident demonstrating the following: - Proven experience in assisting global leaders and working with diverse teams - You are digital savvy and can master Microsoft Office tools including Outlook, Teams, PowerPoint, and Excel. Knowledge of Smartsheet and Power BI is desirable but not essential. - A high degree of self-management organisational skills, and an excellent communicator (English oral and written). Spanish is desirable but not essential. - Excellent attention to detail including spelling, grammar, and formatting to ensure quality and accuracy of all outputs - Experience of managing a busy workload, including complex and competing priorities whilst remaining organized and professional, working to deadlines, and sometimes delivering under pressure - Knowledge and/or interest in LEAN methods and standard work, always working from a LEAN mindset. Proactively driving continuous improvement whilst demonstrating a behaviour of thinking ahead of the curve - Capable of fostering close working relationships - Ability to provide absolute security for highly confidential information and to maintain the confidentiality of extremely sensitive information This role reports into the Admin Lead (EA for Global Integrated Supply Chain Leader).
