What's involved with this role: Temporary Health & Safety Team Co-Ordinator/ Admin Reference no: Merton 5256056 Pay Rate: £15.26 per hour PAYE 35 Monday - Friday, normal working hours This opening assignment is for 5-6 months City: MORDEN, LONDON Must be able to attend the office 3 days per week. Provide effective, high quality, administrative and team support to the Corporate health and safety team, as directed by the Head of Service and Safety Services Team Manager. Key Responsibilities: Support staff with relevant tasks required for operational delivery of the statutory corporate health and safety service in the council, including administering and managing the online Accident Reporting System and administration of Healthy Working DSE system. Managing a range of team support functions, such as overseeing team mailboxes and phone lines, acting as the first point of contact for enquiries into the team, ensuring individuals are correctly signposted to necessary support and maintain and keep the Safety Services webpage up to date by uploading new documents and replacing existing documents with updated copies. Provide support to the team to ensure that Corporate and Departmental Health and Safety policies are always implemented and to raise any concerns regarding their operation, or any Health and Safety matters with the appropriate line manager. P rovide the administrative function for our Joint Health and Safety Consultative Committee, ensuring all papers are collated on time and actions completed. Managing the site visit process and relevant tasks and requirements within this. Lead on the coordination and administration of training, including booking training and managing attendance, assist with queries, provide data and analysis for senior leadership and health and safety committee reports. Support the team with delivering Induction training courses for new starters and new managers ensuring presentations remain current ahead of sessions. Deliver basic health and safety advice as required (subject to training). Provide administrative support and manage documentation on the online legislation and guidance repository service. Assist in procurement projects for new systems or where re-procuring existing services and manage documentation relating to these processes. Qualifications: Educated to GCSE level C or above (or equivalent) in Mathematics and English. Knowledge: Knowledge of adult social care legislation including community care and mental health Knowledge of key national policy drivers, Legislation and broader influences related to the role Experience: Experience of working in a business support capacity providing administrative support. Experience of forming good working relationships with colleagues and customers. Experience of accurately recording and inputting information within agreed timescales. Experience of organising and managing my own workload with some supervision. Experience of using a wide range of MS Office packages, including Word, Excel and PowerPoint. Skills & Abilities: Excellent numeracy/literacy skills. Ability to take accurate, concise telephone messages. Ability and Experience of providing meeting support including taking minutes. Ability to collate and present basic information including statistics and other data as required. Ability to meet deadlines for completion of work. Able to provide comprehensive administrative support to a busy team of officers. Able to communicate effectively in writing and verbally and build collaborative relationships both with internal and external partners. Able to organise and manage workloads, ensuring priorities are dealt with and deadlines are met. Able to manage the administration of the Council's health and safety training. Able to collate data from a range of resources and produce concise reports.
