Purpose of role
Coordinating the implementation of all UKSPF programmes, providing performance and monitoring management information, supporting the claims and audits process, as well as providing administrative support, including processing of paperwork and maintaining accurate records for the programmes.
Key Tasks
* Work with the Compliance Lead to ensure project plans are in place and aligned with business objectives, keeping the programme team informed on strategic and operational aspects affecting their work and maintaining effective communication with them.
* Provide performance and monitoring management information for monthly reporting requirements or on an ad-hoc basis as required.
* Work with the Compliance Lead in completing procurement exercises when required.
* Assist the Compliance Lead in the collection of financial information in relation to grant payments and provide crucial support with the UKSPF claims process and output evidencing.
* Support internal or external audits of UKSPF paperwork and procedures.
* Liaise with the delivery teams to ensure all client administration is accurate and meets UKSPF compliance.
* Work effectively with business partners, collaborators, and project teams, providing timely responses to UKSPF related client queries.
* Ensure that all internal processes are followed by the teams including procurement, purchasing and payments.
* Compliance control on outputs and State Aid for each claim.
* Work with the Compliance Lead to monitor the threshold of supplier cost across all programmes.
* Keep up to date with relevant legislation & update procedures accordingly.
You’ll have/bring
* Excellent project supporting experience and relevant IT expertise such as Word and Excel.
* Strong attention to detail and organisational capabilities, with the ability to maintain systems to manage data and information, including financial data.
* Sound numerical skills that can be applied to financial management activities, including invoicing and payments.
* Well-developed written skills with the ability to communicate effectively, accurately and professionally through a range of channels, including email, reports and production of presentation materials.
* Excellent interpersonal skills, with the ability to establish and build working relationships with a variety of individuals.
* Flexibility – we are a small organisation and operate as a team. While the role and key responsibilities are described above, new areas of work related to the programme may emerge as it evolves. The role may involve some travel within London and the post-holder may occasionally be asked to support events that are being held in the early evening.
* Experience of public funded projects (UKSPF or similar funded programmes).
