The Project Assistant supports the Project Manager in overseeing and executing project-related tasks. This role involves assisting the Project Manager with team selection, training and allocation; mobility of engineering teams across projects, and other project-related tasks. This role is crucial for ensuring the effective coordination of team assignments, and administrative support within the project lifecycle, including compliance with company policies and safety standards. This position operates under the supervision of the Project Manager and/or the Engineering Manager. The responsibilities for this role will be divided with 70% focused on Project Assistant and 30% on Logistics Coordinator. Tasks and Responsibilities: Plan and coordinate the allocation of personnel to active projects in collaboration with the Project Managers, ensuring optimal use of resources. Work with Project Managers to organize team mobility, coordinating with Mobility department; Partner with the People department to ensure that Customer’s training platforms are updated per training matrix requirements. Identify field technicians’ training needs and report them to the Project Manager. Support project managers in aligning project tasks with employees' career interests. Review and assist with work hour records approval, vacation schedules, and reimbursement of project-related expenses, including fuel sheet transactions, in coordination with the Project Manager. Assist on the billing process for projects according to contracts and customer requirements in coordination with the Project Manager. Assist with customer’s invoicing workflows and pro-forma invoice approval within the established payment deadlines. Support project managers by setting up new projects on the Endiprev Portal and maintaining project records. Enforce the safety procedures of Endiprev and the client, working to ensure that all team members comply with safety rules. Assist in safety documentation tracking and distribute compliance checklists, coordinating with safety officers as necessary. Work closely with similar departments across Endiprev’ s divisions as directed by management, facilitating consistency and collaboration within the group. Serve as a contact between the People department and project management to address resource, training, and allocation needs. Recommend process improvements to enhance team efficiency and streamline project administration. - Work together with the employees who request the logistics solutions (e.g., accommodation; travel, etc.) to find the most advantageous solutions for Endiprev in the area where they are requested (e.g., projects, training, business development, etc.). Providing the information and logistics documentation to the employees who request it and to the employees who use the Logistics services. Registering and archiving logistical documentation in the locations defined by the management system (e.g., project folders, commercial mission folders, etc.). Maintain contact and good relationship with suppliers and potential suppliers in the market by continuously evaluating and selecting the most advantageous ones for Endiprev. Putting the payment of logistics purchases and if there is, managing complaints to suppliers. Perform the search for solutions and purchase of logistics services, according to the needs and purchase orders of the solicitor. Follow up and support employees who use the logistics solutions, ensuring that suppliers deliver the services as contracted and that Endiprev uses the services appropriately. Follow up and support internal Customers in unpredictable day-to-day situations. - Ensuring that the contractual terms and conditions with the Logistics suppliers are complied with (e.g., check invoicing, payments, etc.). Opening and follow-up of complaint processes with suppliers. Monthly presentation of expenses related to the credit cards used in the process, respecting the company's procedures. Comply with the procedures and security rules established by Endiprev and/or the clients. - Cooperate, whenever requested by the Manager, with the people from the homologous processes of the Group's companies.
