SQS is now looking for an Admin Support to join the Transport Team in our Scratchwood Depot.
Overall purpose of the Admin Support job: To work with our Plant, Vehicle and Transport team to manage the administration of our Company's vehicles and Plant.
Key Responsibilities of the Admin Support role:
1. Accurate inputting, record keeping and maintenance of information held on Company databases. This includes information on SmartCheck, Syrinx, TruckFile, WebFleet, VideoMatics, Davis, Congestion and Dart Charge, any in-house databases. (Training will be given on all systems)
2. Manage the administration associated with on and off hiring of plant and vehicles both owned and third party hired vehicles.
3. Work with the company software to maintain drivers’ records, which will include uploading driving licenses to the database, training matrices, and inputting relevant information to the accident database.
4. When vehicles are allocated to different departments/contracts/drivers, you will update necessary records.
5. Raise Purchase Orders (POs) for vehicles, plant hire, maintenance, and parts required.
6. Reconcile received invoices against POs before submitting to Accounts Payable for payments.
7. Manage internal cross charge processes where necessary.
8. Input PCN/NIP information into the database and manage in line with company procedure.
9. Maintain accurate records of company fuel cards.
10. Act as a point of contact with internal and external contacts on agreed transport and plant matters.
11. Be prepared to support the business on other relevant activities on a needs basis.
