The Opportunity : We are seeking a highly organised and proactive Executive Assistant & Personal Assistant to support our Managing Director (MD) and senior leadership team. The MD oversees multiple organisations and operates across international time zones, requiring a highly flexible and responsive approach. This dual role will provide high-level administrative support while also assisting with personal tasks, ensuring seamless coordination between professional and personal responsibilities. The ideal candidate will be adaptable, discreet, and experienced in managing a dynamic and fast-paced workload. Key Responsibilities: Executive Assistant Duties: Provide comprehensive administrative support to the MD and senior executives, managing complex schedules, international travel arrangements, and correspondence across multiple organisations. Act as a first point of contact, handling communications with discretion and professionalism across different time zones. Prepare reports, presentations, and documents for internal and external meetings. Coordinate and manage executive meetings across international locations, including minute-taking and follow-up actions. Maintain accurate records and ensure confidentiality of sensitive company information. Assist in project management, tracking deadlines, and ensuring deliverables are met across multiple business interests. Liaise with internal and external stakeholders, ensuring effective communication across global teams. Manage expenses and budgets related to executive activities. Oversee office management duties as required. Personal Assistant Duties: Provide personal administrative support to the MD, including managing personal appointments, commitments, and travel arrangements. Handle confidential and sensitive information with the highest level of discretion. Organise travel, accommodation, and lifestyle-related arrangements, often across multiple time zones. Assist with financial administration, such as invoice processing and expense tracking for both business and personal matters. Coordinate personal and business-related events, meetings, and engagements. Act as a liaison for personal and professional matters, ensuring seamless coordination between work and personal life. Key Requirements Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leadership, preferably within a multi-organisation or international setting. Strong organisational and time management skills, with the ability to manage competing priorities across multiple time zones. Excellent verbal and written communication skills, with a professional and diplomatic approach. High level of discretion and professionalism when handling confidential matters. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Flexibility to work outside standard UK business hours to accommodate international schedules. Ability to work independently, problem-solve proactively, and remain calm under pressure. Strong attention to detail and accuracy. Experience in a fast-paced corporate environment preferred.
