Conference & Events Manager Ipswich
Monday - Friday (9:00am - 5:00pm)
Salary: £32,000 - £40,000 basic salary + Hybrid + Bonus + an excellent benefits package
OTE: £37,450 - £46,250
Leading construction company with over 150 years history has an exciting new opportunity as their Conference & Events Manager.
The ideal candidate will have previous experience organizing external events and conferences with a strong marketing background.
You will be working alongside the Marketing Director and look after the events coordinator to oversee the planning, management, and execution of all company conferences and events, both corporate and social. These range from conferences, exhibitions, large corporate events, commercial events, as well as the sales teams' National and Divisional meetings.
Responsibilities
1. Devise structure, processes, and procedures to manage all company events, including budgetary controls and ensure adherence.
2. Devise processes and procedures to manage the company's event calendar and company event rollout.
3. Compile a list of preferred suppliers for approved hotels with negotiated costings and periodically review.
4. Liaise with sales and marketing teams to publicize and promote events.
5. Ensure best value practices for all overnight stays and events across the business.
6. Collaborate with all departments, including the Business Support Team, in relation to the use of preferred suppliers.
7. Conduct vendor/supplier sourcing, onboarding, monitoring performance, ensuring best value and building strong lasting relationships.
8. Consider sustainability across all deliverables and activities, providing options for consideration and cost comparisons.
9. Manage full events cycle from initial creative concept and pre-planning stages through to on-site execution.
10. Create event proposals that are creative, innovative, in line with budgetary requirements and in alignment with stakeholder requirements.
11. Oversee all event aspects, such as venue sourcing, seating, dining, accommodation, and entertainment.
12. Manage and oversee events on the day, including problem-solving, welcoming guests, directing event set-up, and communicating with staff and organizing vendors.
13. Ability to plan and juggle delivery of multiple events and deliver to deadlines and within budget.
14. Authorize invoices in accordance with vendor requirements.
15. Oversee event logistics.
16. Ensure all relevant colleagues attend and are fully briefed.
17. Report on the success of events by agreeing objectives and reporting against them.
18. Track participation and collect feedback.

1. 5 years strong event management skills combined with the ability to motivate others.
2. Project Management skills.
3. Excellent time management and the ability to deal with multiple events and associated stakeholders.
4. Helicopter view to pre-empt problems.
5. Strong written and verbal communication abilities.
6. Strong negotiation abilities to secure contracts and pricing.
