Our highly-ranked legal client is looking for a board-level Executive Assistant to support their Practice Director, Managing Committee, Chairman, and partnership. Additionally, you will provide support to the Marketing & BD Manager, and occasional HR support where needed.
This is a very busy and varied role, requiring someone who is incredibly organised and who understands the importance of confidentiality.
Responsibilities will include:
* Providing administrative support to the Practice Director, and non-fee earning support to the MC, Chairman, and partnership on various strategic and operational initiatives
* Arrange the partner's meetings including, preparing the agendas and coordinating papers
* Supports all regulatory requirements and registrations for offices
* Management of office and travel insurance for all offices
* Supporting with PI insurance
* Management of the firm’s risk registers for all offices.
* Coordination of away days, strategy days, and other MC/partnership events
* Management of the firm’s travel vendors and policy and providing support with travel arrangements and complex travel requirements (visas, trips, etc.)
* Put together presentations
* Supporting legal directory submissions
* Supporting digital marketing initiatives on social media platforms
* Produce branded marketing collateral
* Supports the BD/Marketing department with research, administration, and coordination
* Supporting HR initiatives and administration where required
About you:
* Experience providing board-level (or equivalent) support in an EA or PA capacity, maintaining complete confidentiality and discretion, with the full trust of board members, acting as a gatekeeper to preserve the time of business leaders
* Experience providing high-level business services support e.g. BD, Marketing, and HR administrative support
* Writing agendas, minutes, draft communications, and reports
* Educated to degree level
* Demonstrably capable of managing complex diaries; a busy and demanding workload, prioritising conflicting demands, and the diaries of business leaders
* Able to negotiate with business leaders and senior staff when organising meetings and chasing actions
* Able to build and maintain constructive relationships with a variety of individuals at different levels of seniority,
* Very high attention to detail
* Excellent communication and interpersonal skills with the ability to build and maintain business relationships as, appropriate, with internal and external parties: confident, professional, diplomatic, resilient, responsive, influential, and tenacious
* Good skills in Word, Excel, and PowerPoint
