Team Assistant Salary £30,000 - £36,000
Based in Liverpool Street
Hybrid Role: 3 days in the office, 2 days at home
A property and construction consultancy is looking for a Team Assistant to join their team based in Liverpool Street. The role will support 3 teams within the business with a range of administrative and project coordination tasks including assisting with financial forecasts, managing billing, maintaining files, arranging travel, and supporting tender processes. We are looking for a Team Assistant with experience in the construction sector, capable of managing heavy workloads and multitasking with excellent attention to detail.
Key Responsibilities:
1. Coordinate project delivery deadlines within the team
2. Arrange and attend weekly team meetings, keeping minutes of actions
3. Follow all Quality Assurance and standard procedures
4. Support Directors with the creation of financial forecasts
5. Type and issue fees and manage departmental billings
6. Manage Directors' timesheets, expenses, credit card statements, etc.
7. Prepare letters, specifications, reports, and large documents for Directors/teams
8. Ensure all documents are filed in the correct directories following company guidance notes
9. Open new jobs, create new files, and keep filing up to date
10. Book travel/accommodation and meeting venues if required
11. Maintain CRM - Projects/Contacts, etc.
12. Coordinate tender processes
13. Monitor Director and team movements on a daily basis
14. Manage loan working procedures within the team
15. Assist Directors with managing team holiday requests
Experience Required:
1. Experience providing support to large, demanding teams, ideally within construction consultancy
2. At least 1 year of Team Assistant experience
3. Knowledge of invoicing processes
4. Proficient in managing heavy workloads, meeting tight deadlines, and effectively managing expectations
5. Proficient with Microsoft Word and Excel
6. Strong written and verbal communication skills, with keen attention to detail
7. Experience in taking minutes and dictation tasks is advantageous
