Job Purpose
The key role of the Procurement Administrator is to provide administrative support to the Procurement and Commercial Team with particular focus to support Procurement operations (currently staffed by Senior Procurement Specialist and Associate Procurement Specialist).
Job Description
1. Provide general administrative support to the Procurement and Commercial Team as required.
2. Raise Corporate purchase orders.
3. Ensure compliance with required procurement documentation; including, but not limited to: purchase requisitions, purchase orders, terms and conditions, contracts, questionnaires, vendor agreements and relevant correspondence.
4. Maintain procurement databases and systems to ensure data accuracy and integrity.
5. Maintain the Procurement and Commercial Department Outlook mailbox.
6. Assist in the preparation of reports and presentations for senior management.
7. Handle routine inquiries and correspondence related to procurement activities. Ensure procurement issues are resolved in a satisfactory and timely manner.
8. Send New Vendor Forms and carry-out due diligence to vendors.
9. Ensure that purchase requisitions and POs are released within the set timelines.
10. Collaborate with other teams to coordinate procurement efforts and achieve organisational goals.
11. Carry-out ad hoc administrative tasks as and when required by Head of Procurement.
