We have an exciting new opportunity to join our team in the role of Personal Assistant, to provide effective administration, coordination, and organisational support to our Senior Leadership Team.

Responsibilities for this role: Acting as the point of contact for the SLT, employees and other external parties Liaise with external parties/business guests Liaise with other employees on behalf of Senior Leadership Team (SLT) members Information coordination and flow in a timely and accurate manner Outlook inbox coordination Maintain electronic filing system, ensuring processes and software are up to date and in working order Purchase order and invoicing processing for the SLT Keep up to date records of seating plans Time tracker coordination, ensuring data help is up to date and accurate Meeting room management (for the Technical office & Executive suites) Organise catering as required with the on-site catering team Support effective financial record keeping for the SLT, including expenses processing and credit card statements.
Managing executives’ calendars and set up meetings Effective diary management for the SLT, including organising and scheduling meetings Effective Race event scheduling, ensuing the Team Principal is fully briefed Liaise with the Travel department on business travel arrangements, including flights, transportation and accommodation Organise off-site meetings (including, confidential meetings, team building activities, away days) Support the executives to conduct effective meetings Prepare meeting agendas, perform research, and take minutes during meetings Produce meeting notes and action lists in a timely manner Follow up action lists in advance of subsequent meetings Produce reports and presentations as required Support SLT members with preparations for on-boarding new employee members, employee reviews and 1:1’s.
Proactively work with the SLT to support them in their administrative tasks.
Solve simple IT problems and contact the IT department when necessary Company car management for AMF1 in conjunction with the Partnership Team Maintain a strong working relationship with other relevant departments Support the preparation of functional reports for the weekly SLT meeting (KPIs and targets).
