Main purpose of the Role:
This is a key project role to support the HR Team with the launch of a new HR information system across the organisation. The role will focus on the collation and cleansing of our colleagues' data to ensure our new HRIS is launched with accurate and up-to-date information to provide maximum benefit to our colleagues and the organisation.
Working closely with all departments but particularly the People Team, Payroll, and projects team, this project role will be vital to ensuring the successful launch of a new HR System and new ways of working for the HR Team and colleagues.
In addition, the role will have the opportunity to have exposure to a range of HR Administration activities that are carried out by the People Team and will be a part of implementing new and enhancing existing HR processes.
This role must be able to provide strong systems and administrative support to enhance our colleagues' experience and help the People Team during a period of change as Cartrefi launches a new people strategy that will support the growth and performance of the organisation.
Key Responsibilities:
HR Systems and Data
1. Lead on the cleansing of colleague data from the HR & Payroll system.
2. Implement processes to update colleague data that is required for new HRIS.
3. Establish processes that allow the cleansing of current system data.
4. Ensure colleague data is accurately uploaded and maintained in our HR Systems.
5. Use the HR Systems for producing ad hoc reporting on HR and colleague data.
6. Actively use the HR Systems for reporting and analysing data to ensure data is accurate and up to date.
7. Maintain electronic personnel folders ensuring compliance with weeding and retention schedules and data protection.
HR Administrative Support & compliance
1. Provide high-quality HR Administrative support across the full range of administration duties that occur throughout the colleague employment lifecycle including but not limited to the new starter process, leaver process, contractual changes, parental leave, absence management.
2. Ensure changes which impact colleagues’ salary and monthly payroll are actioned in a timely and accurate manner, in collaboration with the HR Advisors, Business Partners, and Payroll.
3. Support the People Team to implement procedures to ensure the timely updating and processing of changes to colleagues' data.
4. Apply a good working knowledge of HR policies, procedures, and administrative systems to respond to enquiries from colleagues, managers, and external customers.
5. Actively support and have involvement in HR Projects as required.
6. Ensure a professional approach is always delivered with particular emphasis on maintaining confidentiality.
7. Ensure HR administration processes comply with employment legislation and regulatory requirements.
8. Co-operate with Cartrefi in complying with relevant health and safety legislation, policies, and procedures in the performance of the duties of the post.

10. Maintain confidentiality and observe data protection and associated guidelines where appropriate.
11. Ensure compliance with Cartrefi's policies and procedures at all times.

Person Specification:
Qualifications, knowledge and experience:
1. Proven experience in a HR administrator role, ideally in a complex, fast-paced organisation.
2. Experience of using HR Systems.
3. Knowledge of working with HR policies and procedures.
4. Strong attention to detail and high degree of accuracy.
5. Proficient in managing and maintaining HR systems, spreadsheets, and electronic filing systems.
6. Experience of managing a high volume of work, prioritising and handling multiple tasks simultaneously.
7. Proactive, highly motivated individual.
8. Excellent communication, interpersonal and problem-solving skills.
9. Team player who collaborates well with immediate and wider team.
10. Ability to communicate via the appropriate method with team and stakeholders.

1. Full, clean driving licence with access to a vehicle*
2. Willingness to travel to our sites across Wales.
