Title: Business Support Admin Officer - Social Services Team Job Ref: Barnsley 0009 3E8E / 1 Pay Rate: £12.59 per hour PAYE Hours per week: 37 Monday – Friday, normal working hours Role Length: This opening assignment is for 3 months City: Barnsley, South Yorkshire Hybrid working Enhanced DBS required for this role A Business Support Admin Officer is needed to support the LADO and IRO service, within the children's social services team. You will be responsible for the minute taking for LADO, emails, updating spreadsheet trackers and tracker enhancement for both services, setting up and invites to meetings, requesting reports. Minute taking skills and experience are essential for this role. Key Responsibilities:
1. Provide an efficient and confidential business support service to front line and statutory services
2. Deal with telephone and face to face enquiries providing advice, guidance, signposting and support to internal and external customers across a diverse range of service functions in line with legislation, regulations policies and procedures.
3. Respond to a variety of correspondence, dealing with incoming and outgoing information.
4. Liaise and collaborate with internal and external stakeholders including managers, employees and members of the public, ensuring information and communication links are maintained.
5. Support Statutory Meetings, including recording of decisions accurately and at speed and directly onto e forms, templates using mobile IT devices.
6. Organise and co-ordinate meetings, diaries and appointments, ensuring schedules and venues are appropriate for attendees.
7. Analyse and evaluate data/information and produce reports/information/data which is appropriate for a range of audiences including senior managers, elected members, employees and members of the public.
8. Undertake administrative duties whilst dealing with interruptions, queries and conflicting demands arising from customer queries and requests.
9. Input, check and maintain a variety of electronic and paper-based systems, ensuring information is accurate and stored appropriately.
10. Undertake financial administration including placing orders, reconciling and processing payments using electronic systems.
Qualifications:
1. Level 2 qualification in an appropriate area
2. Training on Microsoft Office
Skills & Experience:
1. Experience of working within a business support environment
2. Proven experience of working with highly confidential and sensitive information
3. Experience of undertaking research and providing written and verbal reports of findings
4. Experience of working with financial information, solving problems in relation to
5. payments and billing
6. Experience of servicing meetings and minute taking directly onto mobile devices at speed and with accuracy
Knowledge:
1. Knowledge and understanding of national and local government policies and agendas. A/I E
2. Good working knowledge of computer based systems including Microsoft Office. A/T E
3. Good knowledge in relation to information governance, data protection, health & safety
4. and risk management
5. Knowledge and understanding of project management techniques.
