Inventory Coordinator Zertus UK & Ireland The successful candidate will use our MRP system (QAD) and follow action messages, to raise purchase orders, send schedules out to suppliers, advise the planning team of any projected component shortages. Attend a weekly stock call to talk through projected component shortages. Position type: Full-time, Permanent Hours: 37.5 Shift Pattern: Monday - Friday, 08:30 - 16:30 Breaks: 30 minutes Hybrid role: 2 days office-based, 3 days home-based (fully office-based while training). System Management Own the review and actioning of all system-generated messages, ensuring alignment with MRP settings, production plans, and inventory targets. Be the first line of defense when discrepancies arise, escalating where item planning data doesn’t meet business needs or flexibility requirements. Work cross-functionally to ensure the accuracy of all system management activities, promoting seamless operations and correct behaviors across teams. Collaborate with Procurement to ensure MRP system reflects real-world conditions and reflects reality in the business. Inventory Scheduling Proactively raise and manage Purchase Orders (POs), ensuring they are placed on time and escalated when overdue. Leverage MRP systems to confirm all PO/CO lines for delivery within 72 hours and tackle any overdue deliveries head-on. Oversee the booking, scheduling, and reporting of all inbound deliveries to ensure everything is perfectly aligned with due dates. Guarantee that PO due dates and quantities reflect the reality on the ground, enabling an effective OTIF process. Inventory Management Own raw material and packaging stock shortage reports, proactively addressing any production risks and driving actions to resolve them. Coordinate with all supply chain functions to ensure timely stock returns to suppliers. Analyse and tackle material deviations, ensuring swift corrective actions are in place to minimise production disruptions. Work hand-in-hand with Planning, Procurement, and Operations teams to monitor and manage inventory levels, time management, and inbound delivery conflicts. Build strong relationships with suppliers and 3PL partners to ensure lead times are met and stock levels are under control, addressing any issues that arise. Reporting Drive the preparation of weekly stock dashboards and key reports for senior management, providing crucial insights into inventory health. Ensure timely resolution of invoice queries, and manage short-dated stock distribution, implementing corrective actions as needed. Own month-end and year-end reporting, contributing valuable insights for continuous process improvements. Create, update, and enhance Standard Operating Procedures (SOPs) for process changes and improvements. Team Attend key meetings, both internal and external, ensuring actions are completed and cross-team goals are met. Work closely with internal teams, 3PL partners, and suppliers to create an efficient and responsive supply chain ecosystem. Excellent organisational skills and experience in an administrative function. Experience in materials management/control processes within a manufacturing environment Effective interpersonal communication skills Effective and responsive decision making Good knowledge of Excel is required, to assist with maintaining and developing key reporting tools Good analytical and numerical skills together with the ability to communicate effectively and build highly effective relationships with key cross functional personnel Strong knowledge of MRP/ERP systems is desirable A natural team player, with a proactive, collaborative approach with an ability to motivate others.
