The company manufactures its mechanical watches at scale from “The Wing”, Bremont’s 35,000 sq ft state-of-the-art Manufacturing & Technology Centre in Henley-on-Thames, England. KEY PURPOSE OF THE ROLE
Working as part of the Military & Special Projects team, this pivotal role provides administrative support to the department as well as liaison with our high-profile clients.
This role exists to ensure we provide the highest possible level of service which includes. but is not limited to; order management, lead time planning, pricing confirmation, booking of shipments with customers, coordinating internal resources and stock allocation.
KEY RESPONSIBILITIES
* To be the main point of contact for existing key clients (‘Project Leaders’)
* To maintain a flow of communication throughout the clients ordering process – from initial contact, submitting an order and paying a deposit, managing expectations of lead time, communicating any foreseen stock issues, letting clients know their watch is ready, providing tracking information once sent
* Ensuring on time delivery for all new project
* Ensuring clients pay in a timely manner and chasing accordingly
* To attend and prepare for events in the UK and occasionally abroad
* Ensure timely responses to all emails in the inbox - first contact, watch information, order updates, product/technical queries
* Answering calls and providing the appropriate follow up actions, including processing payments using an online system or PDQ machine
* Following up with leads after initial enquiry to keep order momentum
* Work closely with logistics team to resolve any shipping queries during the dispatch process and once packages have been dispatched
* Update order forms regularly to keep data and pricing accurate
* Prepare returns labels and complete exchanges
* Assisting the finance team with payments relating to orders and occasionally generating invoices for payment
* Keep sample watches organised and tracking any being sent out to clients or events.
PERSON SPECIFICATION
Essential:
* Strong attention to detail, and ability to input data accurately.
* High standard of written English and grammar, and ability to communicate well both verbally and written.
* Good mathematical skills
* Able to work to deadlines and targets, whilst also prioritising workload
* Pro-active and able to work independently as well as part of a team.
Desirable:
* Previous sales or customer service experience
* Experience with an ERP system and CRM

WORKING ENVIRONMENT
* Hours of work are 9am-5.30pm, Monday-Friday (occasional weekend/evening work may be required for events)
* Onsite at our HQ in Henley on Thames
* Working both autonomously and in a team of 4
* Probation process 4 months
* Notice period – 1 month
