Main duties of the job
Main duties of the role will include:
* Providing comprehensive, effective and high quality administrative support to the relevant Safeguarding Lead at each practice.
* Providing and coordinating administrative and secretarial services where required; including, for example, the preparation of agendas and minutes, taking appropriate follow-up action as required.
* Overseeing an electronic filing system for safeguarding issues.
* Preparing confidential letters/documents/reports.
* Constantly reviewing working practices and suggesting any areas of improvements.
About us
The award-winning Selby Town PCN consists of four practices with a combined population of approximately 50,000 patients, covering the large geographical area surrounding Selby and Escrick.
This is a post supporting patients & staff across the four practices in the PCN: Beech Tree Surgery, Escrick Surgery, Posterngate Surgery, and Scott Road Medical Centre.
The PCN has a Clinical Director, two Clinical Lead GP's and is managed by the PCN Operations Manager & HR Lead.
We work in increasingly collaborative partnerships across a number of workstreams, which include important priority areas of mental health, frailty, urgent care, and health inequity. Our team consists of a diverse multi-professional workforce which includes pharmacists, MSK practitioners, physician associates, mental health workers, care coordinators, social prescribing link workers, a frailty therapy team, an urgent care coordinator, a business intelligence analyst/digital lead, a transformational lead, and an urgent care team of health care professionals.
Job responsibilities
KEY RESPONSIBILITIES
* Sorting and prioritising all incoming mail and e-mail that relates to safeguarding or potential safeguarding issues.
* Acting as the main safeguarding link for all practices with regards to phone calls/messages.
* Acting as a point of contact for teams, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously.
* Dealing with any telephone calls for practices from third parties regarding safeguarding issues.
* Ensuring practice safeguarding registers are accurate & up to date.
* Completing safeguarding reports received from third parties.
* Attending safeguarding meetings with relevant agencies, e.g., social services.
* Ensuring codes are accurately entered/amended onto medical records.
* Running and collating reports which may include reports to the PCN Board.
* Ensuring practices have relevant & up to date policies in place.
* Maintaining effective electronic filing systems, to ensure that information is kept securely and is accessible to other members of the team.
* To support practices in any Learning Reviews.
* Acting as an expert Safeguarding resource for practices.
