As the Business Support Administrator, you will work within the Business Support team, providing administrative support to a range of functions while taking on other tasks to support the smooth running of the charity. Some areas you will support include (but are not limited to) facilities, IT, and compliance. You will be producing accurate records, logs, and schedules, maintaining specific databases, and coordinating the business support functions and service contracts such as telephones, alarms, IT cleaning, and more.

Job responsibilities
1. To develop an understanding of key services with which Catalyst Support works closely.
2. To ensure the maintenance of accurate, up-to-date records of all business support records including suppliers and contractors, and to ensure that they are kept in order and are easily accessible to whoever has the need and authority to see them.
3. To develop and maintain appropriate and efficient office systems including tracking contract renewals, termination information, and sourcing appropriate alternatives if required.
4. To be responsible for supporting and coordinating service contracts e.g. telephone, alarm, IT, cleaning in conjunction with the Line Manager.
5. To develop and maintain processes for data and information storage and prepare statistical data and reports as required.
6. To support and maintain the online filing system for business support documentation as required.
7. To support the development, implementation, and maintenance of the business support handbook.
8. To support and deliver the distribution and allocation of employee equipment for recycling/upcycling purposes.
9. To support the provision of Personal Protective Equipment including ordering and distribution when required.
10. To support and maintain the purchase records of equipment and equipment asset register.
11. To develop office systems to ensure the department is efficient and effective.
12. To support reception duties with visitors to the office when required.
13. To support in room bookings across various locations.
14. Assisting with the preparation, notation, and scheduling of meetings.
15. To undertake other appropriate tasks as outlined by the Line Manager.
Person Specification
Experience
* Previous administration or business support experience.
* Good communication skills both written and verbal.
* Proficient in Microsoft Word, Excel, and some experience with PowerPoint.
* Able to adhere to processes while prioritizing and managing own workload.
* Able to demonstrate a positive solution-oriented and flexible approach to your work.
* Caring and empathic nature.
