Role Description
This is a full-time on-site role for a Receptionist at Yorkshire College in Leeds. The Receptionist will be responsible for handling phone calls, performing receptionist duties, utilizing clerical skills, communicating effectively with staff and students, and providing exceptional customer service on a day-to-day basis.
Qualifications
- Exceptional communication and customer service abilities
- Experience in student counselling and career guidance
- Knowledge of student affairs management
- Ability to create a nurturing and welcoming environment for students
- Strong organisational and multitasking skills
- A bachelor’s degree
- Previous experience in a similar role is advantageous
Supplementary Qualifications
- Safeguarding and Prevent Awareness Certificates
- If not already obtained, basic safeguarding training will be provided
Key Responsibilities
Student Services:
- Greet students, respond to inquiries, and offer advice on various academic matters, including course registration, document requests, and scheduling
- Manage student records, including enrolment, transcripts, and academic progress
Document Management:
- Maintain and update student records and administrative documents
- Ensure confidentiality and security of sensitive student information
Communication:
- Ensure effective communication and timely resolution of any issues
- Respond to emails, phone calls, and face-to-face inquiries promptly and professionally
Event Coordination:
- Support the organisation and coordination of school events, excursions, and student activities
- Manage logistics, scheduling, and communication for events
Administrative Support:
- Handle general administrative tasks, including managing office supplies and maintaining organisation
- Provide administrative support to faculty and staff to ensure a well-organised office environment
Data Management:
- Accurately enter and maintain databases related to student information and school records, ensuring confidentiality and data security
Policy Compliance:
- Ensure all administrative tasks comply with school policies and procedures
- Adhere to safeguarding policies at all times to ensure a safe and secure environment
- Stay updated on changes to school policies and communicate them to relevant parties
Problem Resolution:
- Address and resolve student and school-related concerns efficiently
- Escalate complex issues to the appropriate department or authority when necessary
Orientation and Support:
- Assist in organising student orientations and offer guidance to new students
- Provide support services to students experiencing difficulties with their academic journey
Confidentiality:
- Maintain confidentiality and safeguard sensitive student and school-related information
Working Hours:
Monday to Friday, 8:00 am to 4:00 pm
