System Coordination Centre Officer, Band 4, Permanent role
The NHS Devon System Coordination Centre (SCC) is a key high-profile service delivered by NHS Devon. The team are the first point of contact for healthcare providers across Devon (including Ambulances, Mental Health, Community, Trusts and more) to provide system emergency and incident support, when required.
In this role, you will act as first point of contact for the System Delivery & Improvement Team, dealing with enquiries in a pleasant and helpful manner, communicating relevant information to stakeholders, referring to others as appropriate.
About you...
We are looking for an individual that has demonstrable experience of working in an administrative environment and with working knowledge of Microsoft Office. This is a fast-paced role and it's important that individuals are able to work on their own initiative and be organised. However, what is most important is that you are willing to learn and full training will be given. Note-taking or loggist experience is essential.
Main duties of the job
* Provide specialist support and advice to the senior manager/s by:
* Recording action points for System Coordination Centre meetings (template provided).
* Accurately updating and logging actions on spreadsheets using Microsoft Excel.
* Responsible for organising meetings for the team, managing the team mailbox, and planning administrative work as required.
* Monitoring and managing the SPOC inbox including all requests from national, regional, system, and provider stakeholders.
* Managing all elements of cascade and any relevant associated follow-up actions.
* Manage all action trackers and associated actions timely and appropriately.
* Ensure SCC room lead is provided with all escalations that require senior input.
* Support the management of the System Delivery & Improvement Team's mailbox using Microsoft Outlook, responding to emails and forwarding on as appropriate.
* Taking actions for System meetings.

Experience, Knowledge & Qualifications
* Significant administrative or relevant experience including initiating and maintaining office systems.
* Experience in dealing with sensitive and confidential information.
* Knowledge or experience of minute-taking or note-taking skills.
* Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint, and Access.
* Educated to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.
* Knowledge of NHS issues.
* Understanding of Data Protection Act.

* Clear communicator with excellent writing, data entry and presentation skills: capable of constructing and delivering clear information/instructions to staff and service users.
