SAS Event Project Manager
What you’ll do…
Rare opportunity to join a long-established event management company which specialises in supporting membership associations. Enable our client’s and their delegates to seamlessly experience incredible corporate events. You will help make memories, transform futures and inspire collaboration.
The way you’ll achieve it…
Communication is key for the smooth sailing of event delivery. Being a project manager of our events is all about teamwork making the dream work, we are a small but mighty team who work collaboratively as well as taking the lead with your own portfolio of clients. Solution focused, leading with confidence and bringing everyone along for the ride with you. You’ll need an eye for detail and ensure you leave nothing to chance, being adaptable, flexible and thinking outside of the box when delivering your events will leave delegates in awe and clients feeling valued.
How you’ll make it happen…
• Organising fantastic events, conferences, award ceremonies and gala dinners
• Effective management of delegates/ staff and client travel arrangements (Unlike poor Kevin in Home Alone)
• Interpreting client requirements accurately, influencing where appropriate and producing full project proposal
• Exceeding clients’ expectations
• Managing clients expectations (with some deep yogic breaths) through pro-active management and planning with realistic deadlines
• Keenly managing budgets, ensuring targeted profits are achieved and ideally exceeded
• Building relationships with third-party providers, ensuring the best value
• Participating in regular meetings with the SAS team (“We are family”)
• Delivering projects on time, within budget, and to the agreed objectives
• Gathering feedback from delegates and key stakeholders
• Planning and overseeing all aspects of production and managing key task schedules for internal and client use
• Co-ordinating all internal and external project meetings, setting agendas, ensure constructive outcomes, documenting and following up on necessary actions
• Constantly monitoring the progress of the project ensuring it does not fall behind
• Effectively communicating expectations and requirements with all third-party suppliers (including venues, caterers, and technical teams)
• Identifying problem areas and/ or challenge any concerns that may result in having a negative impact on the final outcome
• Produce and oversee all supporting documentation such as final event information/ scripts etc.
• Planning and ensuring all logistics for the SAS crew (including third-party crew where applicable) are in place and well communicated
• Providing the on-site support and direct supervision where required
• Managing post-event debriefs including both internal and external
You’ll be responsible for…
• All aspects of individual project budgets, ensuring projects deliver on expectations
• Raising purchase orders for all department/ projects and ensuring accurate records and procedures are adhered to
• Obtaining documented sign off from client on all aspects of budgets, from initial acceptance through to confirmation for all additional spend thereafter
• Producing all final invoices
• Full reconciliation reporting
What you’ll bring…
• Running logistically challenging events
• Working with hotels and venues
• UK & Europe end-to-end management of events
• Leading, directing or coordinating teams through event management
• Excellent rapport building, active listening and communication skills, supported by proven relationships internally and externally
• Budget creation and management
• Managing multiple clients and events simultaneously
• Knowledge of production elements including technical, design, print, video, multi-media and presentation
• Delegate management, including online registration, is preferable
• All financial, commercial, administrative and customer focused capabilities
• A full UK driving licence
• Good computer literacy skills (Particular on event management software)

We’re a small, strong team and are looking for just the right person. Ideally you will already have comprehensive event experience but training is available for candidates with the right chemistry and attitude. Office base is Salisbury, Wiltshire for 3 days a week with option to work remotely for 2 days a week.
