Role details:
We have a vacancy for either a Commercial Focal Point for an immediate start at our Aberdeen office.
Key Objectives:
* Co-ordinate, monitor and control the provision of invoicing, monitoring of accruals, purchase order tracking systems, cost control processes and compilation of monthly cost reports.
* Co-Ordinate creation and submission of CTR’s as per client request and interaction Altrad operational team and control receipt and tracking of subsequent purchase orders.
* To undertake complete variation management process including client discussions, tracking and forecasting.
* To provide continuous commercial support to the Project Manager wherever necessary whilst ensuring contractual compliance of all commercial documents and reports.
* To provide support to the Commercial Manager wherever necessary ensuring accurate and compliant reporting in line with tight commercial deadlines.
* Communicate efficiently and effectively at all levels
Key Responsibilities:
* Preparation and submission of accurate and timely commercial documents, including and not limited to period invoices, internal and external cost reports, cost-variance reports and CTRs, ensuring contractual compliance is met at all times.
* To ensure that contractual compliance is maintained in all commercial documents submitted to the client and provide assistance in preparation and actioning of all commercially motivated audits, both in-house and external whether direct via the client or via a client sponsored third party.
* To assist with the preparation of annual budgets and rate reviews.
* To ensure that Cape’s IMS procedures are observed throughout.
* To report all commercial issues relating to the relevant contract in a timely manner, to the Client and Altrad’s total satisfaction.
* To regularly liaise with the Client, including attendance at meetings as appropriate.
* Preparation and reporting of monthly cost valuation reports linked to properly managed cost tracking system. Allowing all variances to budget to be reported to the project team and finance department on a monthly basis, thus allowing accurate and timely cost control measures to be implemented.
* Preparation, monitoring and control of monthly client cost-report, liaising with operational team to ensure all variations and future forecasted spend are captured, agreed and reported accurately.
* Close interaction with project team and client to ensure cost forecasting and variances are communicated in a timely and efficient manner.
* To liaise with the Commercial Manager and construct accurate monthly / annual forecasts relating to manpower, scaffolding, budget variance, scaffolding stock takes and plant stock takes, for subsequent submission to the Commercial Department
* To ensure that electronic and/or paperwork back up is maintained for all commercial transactions, ensuring that same is available for any subsequent Client or in-house audit process.
* To monitor and analyse productivity and purchase order overspend to understand and articulate reason’s for non-productive time and overspends on Client Purchase Orders.
* To take a proactive approach to managing, preparing and submitting variations to Client Purchase Order’s in a timely manner.
* Understand and participate in Final Account Reconciliations to ensure timely resolution for both Altrad and the Client.
* To provide commercial support to the Operations Manager(s) and the Commercial Department on an as and when appropriate basis.
* Understanding of Client contracts, ensuring compliance at all times.
* Act in a professional manner.

* Prior experience in a similar role is required

* Excellent numeric skills
* Ability to work under pressure and to tight deadlines
* A first-class appreciation of computerised databases and the use of spreadsheets
* The personal skill and authority to influence and guide various personnel in financially related matters
