Service Support Advisor - Grounds
To support Building and Estates Management, Soft Services contracts with a number of business-critical activities to ensure that key activities relating to the management of the site and the services supplied to the site are carried out in a safe, efficient, and cost-effective manner.
Accountabilities
1. Contract Project Supervisor for Grounds services to assist the Contract Project Manager with the day-to-day running of the contract, ensuring that the contract is monitored to the correct standard. As CPSv, work with the Supplier to ensure contract specifications are met, dealing with any concerns independently with peers and seeking advice from the CPM when required.
2. Responsibility and Primary Contact for the Internal Planting delivered via the Grounds services contract. Ensure that internal planting is maintained to the correct standard and frequency as required, in line with Risk Assessments, Method Statements, and UKAEA Campus Site Rules. This includes arranging new internal planting displays for new buildings or refurbished areas.
3. Management of the Campus Multi Use Games Area (MUGA), managing bookings, MUGA email account, and allocation of access for Site Occupants. Ensure that the MUGA surface and surrounding area is maintained correctly in line with the Grounds Specification through auditing and liaison with the Grounds Supplier to keep the area a safe environment for all to use.
4. Management of the Centralisation of Site Forklift Trucks which support critical operations at UKAEA, ensuring maintenance, servicing, breakdowns, etc., are carried out within time frames and legal requirements to keep the fleet fully operational.
5. Assist the Site Manager with the Utility meter reading and recharging system, ensuring accurate records are compiled for accurate recharging of departments and tenants for utility costs. Liaise with utility and meter reading companies when site visits are required.
6. Carry out additional duties as directed by the Site Manager and Service Support Manager, including one-off projects in relation to CPSv for Grounds Maintenance and Internal Planting. Any budget requirements for one-off projects will be advised and monitored by UKAEA.
7. The Agency Supplied Worker is expected to be proactive, organize their workload, prioritize appropriately, and work independently.
Specific Experience
1. Good basic level of education and good IT skills (Word and Excel in particular), including databases.
2. Must have a proven track record in dealing with Suppliers and be commercially aware to ensure the service is supplied in a cost-effective way.
3. Must be assertive when dealing with Suppliers to ensure instructions are understood and followed, and must be able to challenge poor performance.
4. Must have good communication and interpersonal skills, able to work as part of a team and interact with a wide range of personnel both internal and external, including dealing with grievances regarding service provision in a professional and diplomatic manner.
5. Must have acute attention to detail for checking through figures supplied by contractors and be accurate when producing reports.
6. Must have the ability to problem-solve independently to reach satisfactory resolutions, seeking guidance from a more senior member of staff if required.
7. Understand UKAEA's requirements, project requirements, and the context in which they operate.
