We are searching for an experienced, efficient, discrete, deeply organised and emotionally intelligent Private PA and House Manager for a creative high-profile couple and their family who live near Amersham in Buckinghamshire. They are very private people, down to earth and understated, and intentionally keep their public profiles very separate from their family life. The couple have 2 children, and live in a farm house comprising 30-acres and a number of pets. They have a small team of live-out, long term staff that help with the house and land. The principals day to day is working in the arts, but they have business interests in property (a rental portfolio) and entrepreneurship. No day will be the same, and ultimately the role is about alleviating pressure from their lives allowing them to focus on the things that are most important to them. The role will be part based in their home in Bucks (2-3 days per week), part remote and will require flexibility around hours with the occasional weekend work assisting with domestic life. As both of the principals are freelancers, their commitments fluctuate throughout the year and require exceptional forward planning and coordinating. Whilst both of them have agents and support on the business side, they will require this PA to take ownership of their personal calendars with the main diary management revolving around coordinating their family schedule to sync with their individual work commitments. Although both are organised and self-sufficient, they would really appreciate someone who could help make life as efficient as possible, making proactive suggestions, improvements and have a hands-on, muck in, mentality. The role will include but not be limited to: Diary management - keeping on top of school and family commitments, noting important dates, pre-empting diary conflicts. Researching, booking and coordinating family and work travel and logistics Managing 3 household staff members (log holiday requests and coordinate rotas etc) Liaising with the household staff/gardener re the running of the house, inventories. booking in services All family office admin e.g. MOTs, passport renewals, paying bills, insurance renewals Liaising with contractors for any household related matters, supervising them on site if applicable Stock taking and ordering where necessary Making appointments and reservations as applicable Personal shopping / gift purchasing Admin & logistics relating to rental portfolio Ad hoc research Implementing processes and systems to maximise efficiency Creating and maintaining inventories of valuable assets Organising annual property maintenance checks Overseeing household and estate supplies and budgets Occasional babysitting/pet sitting and willingness to do an occasional school run or vet visit where needs be This requires someone who can take ownership of a role; someone who is practical, resourceful, and full of initiative whilst also being positive and easy to be around. It is essential that this individual is discrete, trustworthy, and emotionally intelligent. It will also require someone who can be assertive, savvy with budgets and comfortable sourcing quotes. You will need to be child and animal friendly and happy being located in a rural setting. The principals deeply value loyalty, and the longevity of their staff is testament to how nice they are as a family and to work for. This is a really lovely role for someone who enjoys being a private PA at the heart of a family and who has had previous experience of managing a team and properties and setting up systems and processes.
