This is a full-time permanent contract located in our Edinburgh city centre office. The salary is £23,500pa. Job Purpose & Overview • Key member of the property management team. • Provide excellent service to our clients by handling the end of tenancy process. • Negotiation between both tenant and landlord to deliver a satisfactory outcome for both parties. • Work with the Property Managers and Maintenance team to ensure the work required is highlighted, raised, and completed promptly. • A customer focused role requiring meticulous attention to detail and co-ordination. Key Accountabilities & Duties • Managing day-to-day maintenance requests – primarily following tenancy checkouts – working in conjunction with End of Tenancy Property Managers. • Focussed with ensuring void period works are completed timely, efficiently, and compliantly to facilitate move in dates and to align with client budgets. • Communicate clearly and concisely with End of Tenancy Property Managers to conclude deposit claims and submissions. • Delivering a high standard of customer service for all customers. Ensuring we are being pro-active when we manage incoming queries. • Understanding Landlord and Tenants responsibilities when managing the day-to-day requests so we can be clear to customers around their responsibilities for the property. • Managing the day-to-day telephone and email requests from Landlords, Tenants and Contractors. • Ensuring maintenance issues are logged and managed effectively, in line with department processes. • Take responsibility for outstanding tickets and manage these in a timely manner. • Dealing with conflict using strong negotiation skills to resolve conflict. • Working with contractors to ensure work carried out is done in a timely manner and to the correct standard. • Ensuring safety certifications are checked and any renewals have been flagged in a timely manner, so properties are compliant. • Working with Department Managers to hit core KPI’s and deliver an outstanding service. We're not just looking for someone who fits our team; we want to be a good fit for you too We're looking for individuals with qualities such as:- • Property Management experience is ideal but not essential, it is preferable and will make the transition for the successful applicant easier with some sector knowledge. • Excellent customer services skills • Passionate about customer service and driven to deliver the best outcome for the customer. • Excellent written and verbal communication which is in keeping with the professional image of the business. • An ability to relay information with confidence and when required to seek support from peers to ensure the correct information is delivered. • Good attention to details, an ability to use business systems to steer decision making • Strong administration and coordination skills • A born multi-tasker with an ability to deal with multiple demands on their time and thrives in fast paced environment. • Pro-active 'can do' approach. • Good team worker and player • Excellent time management, organisational and prioritisation skills • Good knowledge of Microsoft Outlook, Word and Excel and be competent in learning new operating systems to ensure they can get to grips with our management software. • Professional and presentable • Reliable, flexible and friendly • Current legal right to work in the UK.
