Job Title - Wills and Probate Clerk,Salary - £23,000 - £25,000,Location - Doncaster, South Yorkshire,Contract - Full time, Permanent, Key Responsibilities:In this role, you will be an essential support to the Partners in the firm, ensuring the efficient operation of legal services. Your daily responsibilities will include:Dictation and Document Transcription: Take dictation from the Partners and accurately transcribe legal documents from both handwritten notes and audio recordings, ensuring quick and precise completion of all tasks. Legal Document Drafting: Prepare and type various legal documents, including letters, contracts, and agreements, following the instructions of the Partners. This includes adhering to legal standards and ensuring the documents are error-free. Statement Taking and Verification: Gather statements from clients or witnesses, ensuring the accuracy of the information and verifying its completeness for legal purposes. Medical Record Review: When relevant, review and analyse medical records, summarizing the key details necessary for legal proceedings. Correspondence and Communication Management: Manage all incoming and outgoing communications through email, phone, and mail, ensuring that all correspondence is handled promptly and professionally as the first point of contact for clients and external parties. Client Liaison: Maintain regular communication with clients, addressing inquiries and keeping them updated on case progress through phone, email, or mail. Call Screening: Screen and direct incoming calls to the appropriate department or take accurate messages, ensuring that no information is missed. Filing and Document Organization: Maintain an organized, accurate filing system for both digital and physical documents, ensuring secure storage and easy access when needed. Diary and Appointment Management: Oversee the scheduling of meetings and appointments, ensuring efficient coordination of calendars for the legal team. General Administrative Support: Assist with a variety of administrative tasks, including report preparation, case management support, and any other duties as required. Court Bundle Preparation: Prepare court bundles, ensuring all relevant documents are organized and ready for court proceedings.Desired Skills & Experience:Previous Experience: Experience as a Legal Secretary is essential, particularly within Wills & Probate or similar legal areas. Typing Skills: Strong typing speed and accuracy, with a sharp attention to detail when transcribing legal documents. Proficiency with Microsoft Office: Advanced knowledge of Microsoft Office Suite, including Word, Excel, and Outlook, is essential for creating documents, managing spreadsheets, and coordinating emails. Attention to Detail: An ability to focus on the finer details to ensure that legal documents and communications are accurate and professionally presented. Organizational Abilities: A strong ability to manage multiple tasks and priorities, with excellent organizational skills in handling documents, appointments, and communications. Professional Communication: Exceptional verbal and written communication skills, with the ability to engage effectively with clients, colleagues, and external parties in a professional and friendly manner.
