ROLE OVERVIEW:
The Waste Management Administrator will be responsible for assisting with various aspects of waste/refuse management with the various municipalities and the SKG Facilities Management team. The main responsibility of the role requires the administrator to reduce the waste/refuse cost base to its lowest possible, ensuring the municipalities invoice correctly for refuse removal and Facilities Management manages the outsourced waste management Service Provider.
RESPONSIBILITIES:
1. Ensure that the municipal billing is accurate.
2. Perform verification of the municipal utility accounts to ensure the waste/refuse collection costs are accurate, in accordance with the actual number and type of refuse bins on-site.
3. Work with Facilities Management to contract the correct number and type of municipal bins.
4. Work with municipalities to reduce the number and type of bins to the least possible.
5. Audit and verify all waste billing information on the municipal utility invoices with the monthly Facilities Management reports regarding actual collection of bins.
6. Perform variance analysis for all buildings we manage in-house and those by the outsourced waste management service provider.
7. Partner with Facilities Management to investigate recycling options in order to bring the contract price down due to possible rebates from recyclers.
8. Work together with those employees responsible for Environmental Social Governance data.
9. Ensure that waste collection schedules are followed by liaising with Facilities Management to ensure bins are placed outside timeously for collection.
10. Log calls with the council if bins are not cleared.
11. Work with Facilities Management and external service providers to ensure that waste areas are always kept clean.
12. Ensure waste is collected timeously.
13. Ensure waste areas are kept clean.
14. Ensure damaged/obsolete bins are replaced.
REPORTING:
1. Maintain Performance Reports and other waste/refuse management standardized building reports for all buildings, including the number of bins per building, numbers of bins collected by municipalities, billing information, and savings.
2. Provide any other reports or reconciliations as requested by the billing manager.
UTILITY MANAGEMENT:
1. Perform on-site meter readings where required.
2. Data entry/capturing of meter readings.
3. Tenant account reconciliation and resolving queries timeously.
4. Review billing methodologies and ensure correct tariffs are being applied.
5. Manage the relationship between SKG and Municipalities.
6. Regular reporting and risk management.
7. Utility accounting and administration functions.
8. Work with Utilities Management and municipalities to ensure buildings are on the most beneficial tariffs.
9. Ensure compliance with relevant Acts.
10. Assist the utilities manager with processes and systems within the area of accountability to ensure compliance and minimize business risk.
11. Perform any other utilities-related tasks as requested by the utilities manager.
SELF-DEVELOPMENT:
1. Participate in training and development initiatives in line with personal development plans (e.g., Sustainability).
2. Identify training/development needs and pro-actively select effective solutions to address development gaps.
3. Ensure that a personal development plan is developed and implemented.
SKILLS:
1. Knowledge and understanding of municipal processes, tariffs, and waste handling.
2. Ability to work under pressure and multitask, sometimes after hours due to the nature of the job.
3. Demonstrated strong organizational skills with the ability to prioritize work to meet deadlines.
4. Possess basic computer skills with the capacity to promptly learn new computer software programs relevant to the organization, including knowledge of the Microsoft Office suite.
5. Interpret and relay instructions and directions and transfer information accurately in writing.
6. Establish and maintain highly effective working relationships with other employees and the municipalities.
7. Understand modern office procedures and account posting procedures.
8. Ability to perform difficult and responsible work with independent discretion through to completion.
9. Ability to make decisions in accordance with laws, regulations, ordinances, and established procedures.
10. Ability to exercise good professional judgment.
11. Ability to display calm and courtesy to utility customers and municipalities in person, via email, and on the telephone.
