Job summary
An exciting development opportunity has arisen for a band 2 Administration Support Assistant to be based at our Royal Stoke site at the University Hospital of North Midlands NHS successful candidate will work closely with the Clinic Administration teams to ensure outpatient clinics are fully utilised and patients are allocated an outpatient appointment within NHS national targets. They may also assist with any incoming calls to the Appointments Call Centre.
A flexible approach is essential, as is the need to be self-motivated with the ability to work under pressure and prioritise, set tasks/objectives. Team building skills are also an essential requirement of the post holder, together with an awareness of Trust policies and procedures.
Main duties of the job
To undertake clerical duties, this includes providing and receiving routine information requiring tact or persuasive skills. Communicate tactfully with patients, reception staff about appointments or any other queries deemed necessary.
Deals with enquiries where there may be barriers to understanding.
The post holder will deal with all appointment queries communicating factual routine information to patients, relatives (with consent) and external and internal bodies.
The work is wide ranging from the handling of general internal calls, external patient calls and patient relative enquiries and calls from other Healthcare professionals.
To work closely with the Outpatient department to develop a wide knowledge of the specialties to ensure a good patient experience, promoting effective communication to ensure the achievement of Trust and Divisional objectives.
Communicates closely with the system administrators on a daily basis updating them on any slot issues, patient queries, also to ensure that feedback is given on any work that has been allocated daily.

Take instruction from Clinic administrator to deliver an effective and efficient booking service
Organises own workload, coordinates and adjusts on-going clinic appointments
