TPF Recruitment is seeking a highly organised and proactive Personal Assistant to join our growing firm of chartered accountants in Canterbury. In this role, you will report directly to the directors, providing vital support to them and their accounting teams. As a key contributor to the firm’s daily operations, you will ensure seamless client management and efficient administrative support.
Your coordination efforts will help maintain clear communication between partners, teams, and clients, ensuring tasks are completed promptly and professionally.
Key Responsibilities:
1. Administrative Support: Deliver comprehensive administrative assistance to the Partners. Responsibilities include scheduling and coordinating both virtual and in-person meetings, ensuring Partners are fully prepared with agendas, saved minutes, and follow-up on action items.
2. Manage Partner travel logistics including transport, accommodation, and dining reservations.
3. Assist in completing Partner timesheets, mileage records, and expense reports.
4. Raise invoices or credit notes as needed.
1. Client Management: Act as the primary contact for clients, managing incoming calls and emails, redirecting them as necessary to team managers. Ensure all communications are handled promptly and professionally, setting and managing client expectations.
2. Oversee the onboarding process for new clients, ensuring all procedures are followed and internal records and software are updated accordingly.
1. Team Coordination: Facilitate communication and workflow between Partners and their teams to ensure deadlines are met and projects stay on track. Maintain an organised, efficient, and professional work environment.
Requirements:
1. Proven experience as a Personal Assistant, Executive Assistant, or Team Coordinator, ideally within a professional services environment.
2. Advanced proficiency in Microsoft Office, especially Excel, Word, and Outlook.
3. Exceptional organizational skills with the ability to prioritise tasks and juggle multiple responsibilities.
4. Excellent communication skills, both written and verbal, with a professional and polished phone manner.
5. A professional demeanour, self-motivation, and strong logical thinking skills.
6. Meticulous attention to detail and a high level of accuracy in work.
7. A strong sense of discretion and confidentiality when handling sensitive information.
8. Ability to perform well under pressure and meet tight deadlines while confidently interacting with people at all levels.
