They are seeking an experienced and professional Personal Assistant to support their CEO in delivering outstanding client service and managing operational efficiency. As a key member of the team, you will be the primary point of contact for the CEO, representing them both internally and externally. This role requires exceptional organisational skills, professionalism, and the ability to work proactively in a dynamic environment. Key Responsibilities: Act as the first point of contact for clients, colleagues, and external stakeholders, addressing queries and escalating as appropriate. Manage the CEOs diary, scheduling and prioritising meetings effectively. Prepare detailed meeting packs, including valuations and supporting documents, ensuring all necessary information is ready in advance. Record and manage action points from meetings, ensuring timely follow-up. Support the administration of the CEOs client portfolio to the highest standard, setting a benchmark for other advisors. Maintain an effective diary system to ensure clients are scheduled for regular review meetings. Book and confirm client review meetings, preparing and sending confirmation emails/letters. Greet clients attending onsite meetings, providing a professional and welcoming experience. Draft post-meeting correspondence and process client documentation, including Letters of Authority and address change requests. Ensure all client meeting notes are accurately recorded in Salesforce and aligned with company requirements. Monitor and chase meeting notes and updates from the CEO, ensuring compliance with internal procedures. Follow company guidelines for processing documentation related to death claims and other sensitive matters. Skills and Experience: Proven experience in a Personal Assistant or Executive Assistant role, preferably in financial services. Exceptional organizational and time-management skills in a fast-paced, dynamic environment. Strong interpersonal and communication skills with a professional and warm client-facing manner. Ability to anticipate needs, think critically, and offer solutions to challenges. Knowledge of St. Jamess Place (SJP) and Ryley Wealth Management (RWM) systems and procedures is desirable. Familiarity with financial products and markets is an advantage.
