We have an exciting opportunity for a part time Team Secretary to be based in 1 of our services in Sevenoaks. This role will be 15hours per week but all candidates will need to be flexible to work across a 5 day week if needed (Working hours ETC will be discussed in interview). Emily Jackson Close is situated on Eardley Road in Sevenoaks close to the town centre. There are good public transport services and a bus stop and train station is located close by.
There is no direct support required in this role but the ideal candidate will have an understanding of the needs and challenges people who have a Learning Disability may face. Although direct support is not required, the Team Secretary will come into frequent contact with people supported who visit the offices.
Emily Jackson Close supports 18 people who have Learning Disabilities, physical disabilities, communication difficulties and who may display behaviours of concern. Individuals need support to enable them to participate in community based activities and activities within their home.
In this role you will provide an efficient and effective secretarial and administrative support service to our Senior Operations Managers, Service Managers and their team’s including supporting the Personal Assistant and Regional Director.
1. Undertake all aspects of diary, meeting and activity management for Senior Operations Manager and their teams
2. Minute meetings as required
3. Assist in the development, collation and distribution of a range of documents including easy read
4. Maintain internal databases and where required produce reports from the databases
5. Liaise and consult with internal functions and external agencies as relevant to specific projects
6. Provide/share reception cover as required
7. Carry out any other duties as required
What are we looking for?
8. Experience of secretarial and office administration work
9. Knowledge of IT systems, databases and MS Office
10. Experience of copy and audio typing (desirable)
11. Able to prioritise own workload and be self-motivated
12. Good attention to detail and self-motivated
13. Able to uphold confidentiality
14. Able to communicate at all levels
15. Being a team player.
