Are you a results-driven professional with a passion for operational excellence in Facilities Management? VIVO is seeking an Operations Support Manager to lead the delivery of our RFCA contract, ensuring compliance, efficiency, and exceptional stakeholder engagement.
The Operations Support Manager plays a critical role in delivering VIVO's RFCA contract by ensuring operational excellence, stakeholder satisfaction, and strict compliance with all contractual and statutory requirements. Acting as the primary liaison between clients, operational teams, and service partners, the role demands efficient coordination and the consistent delivery of high-quality outputs.
A key responsibility of the role is overseeing the compliant and timely execution of maintenance and response works in accordance with MoD and statutory regulations. This includes collaborating with the on-site RFCA team to meet regional access requirements and maintain compliance standards. Regular performance monitoring and proactive management of any deviations are essential to achieving contract KPIs.
The Operations Support Manager is accountable for managing costs and setting realistic stakeholder expectations through sound commercial decisions and clear communication. Ensuring adherence to VIVO procurement procedures is a priority, involving close oversight of purchase orders and receipting to uphold financial integrity.
Leadership is central to this position, with responsibilities that include supervising the technical administration support team to ensure high performance and value for money. This involves coaching, providing timely assessments, and fostering a motivated and collaborative team environment. In addition, the role requires active involvement in resolving customer complaints to maintain operational excellence and ensure client satisfaction.
Safety and compliance are foundational to the role, requiring the promotion of a proactive safety culture and adherence to quality, safety, and environmental policies. The Operations Support Manager ensures all teams remain accountable while driving continuous improvement and adapting to changing requirements.
Candidates must be able to obtain SC Clearance to be considered for this position.
What You Need To Do The Job:
The ideal candidate will bring demonstrable experience in managing complex FM contract support teams, particularly in estate management, KPI achievement, and performance oversight. Proficiency in CAFM systems, Microsoft Office, and other IT tools is essential, alongside strong problem-solving and decision-making capabilities. Additional experience in MoD environments, familiarity with RFCA geography, and membership in professional bodies like the Institute of Workplace and Facilities Management are valuable assets.
To excel, the Operations Support Manager must possess exceptional communication skills to influence stakeholders and inspire teams. The ability to build and maintain collaborative relationships, coupled with a results-driven and proactive approach, is critical to achieving success in this dynamic and challenging role.
