Join our client team to support Defence Primary Healthcare (DPHC) in delivering safe and effective healthcare within the firm base at the regional level. They are dedicated to enhancing and sustaining operational effectiveness through committed support and coordination.
Responsibilities:
* Provide full administrative support to all Regional Headquarters (RHQ) staff.
* Draft and produce basic letters and documents, take and produce minutes of meetings.
* Manage office procedures to ensure regional staff can perform their roles effectively.
* Act as the first point of contact for the region, answering phones, handling queries, and booking appointments.
* Assist the Regional Clinical Director, Operations Manager, and RHQ staff with diary management, research, and project work.
* Arrange and coordinate meetings and presentations, including booking venues, setting up, and providing refreshments.
* Produce agendas and minutes for meetings, including Regional Management Board, HQ visits, and visits from the Chain of Command.
* Draft and produce general letters, minutes, records of decisions, memos, and emails.
* Liaise with medical centers and other agencies as directed.
* Maintain and update contact and distribution lists.
* Manage databases and spreadsheets as required.
* Handle financial tasks including managing Electronic Procurement Card (EPC) payments and processing invoices and receipts.
* Maintain electronic filing systems and archive relevant documents.
* Manage and maintain mechanical transport tasks, including driver records and pool car fleet.
* Track and manage travel and movement requests for RHQ staff, including booking courses and flights.
* Process various requests including uniforms, Specsavers vouchers, and forms for the regional medical center staff.
* Act as the point of contact for office equipment and building issues, ensuring timely resolution.
* Support other administrative functions within the RHQ and cover for colleagues during absences.
Requirements:
* Strong administrative skills with experience in office management.
* Excellent organizational and time-management abilities.
* Proficient in Microsoft Office Suite.
* Effective decision-making and problem-solving skills.
* Strong interpersonal skills to develop successful relationships with others.
Preferred Qualifications:
* Previous experience in a healthcare or defense environment.
* Familiarity with electronic procurement and financial documentation processes.
Pay Rate: £12.99/ hr + additional 50p allowance for each worked hour
Schedule: standard office hours, Monday to Friday - 37 hrs / week
Duration: 3 months, end of assignment: 18/10/24, extension possibility based on your performance
