Overview
We are seeking a highly organised and detail-oriented Office Administrator to join our dynamic team. The ideal candidate will play a pivotal role in ensuring the smooth operation of our office by managing administrative tasks, supporting staff, and maintaining an efficient work environment. This position requires strong phone etiquette, proficiency in data entry, and familiarity with various office software.
Duties
1. Manage correspondence, including emails and phone calls, and ensure prompt communication with suppliers, staff, and customers.
2. Perform data entry tasks accurately and efficiently to maintain up-to-date records.
3. Organise and maintain office files, ensuring all documents are easily accessible.
4. Utilise Microsoft Office for document creation, scheduling, and communication.
5. Provide clerical support to team members as needed, including typing reports and presentations.
6. Manage invoices, ensuring accuracy in deliveries, and addressing any discrepancies efficiently.
7. Coordinate office supplies inventory and place orders when necessary.
8. Support the organisation of meetings, including scheduling, preparing agendas, and taking minutes.
Experience
The successful candidate will possess:
1. Proven experience in an administrative role, preferably in hospitality.
2. Strong organisational skills with the ability to prioritise tasks effectively.
3. Proficiency in Microsoft Office applications (Word, Excel, etc.) is essential.
4. Familiarity with Xero or similar accounting software is advantageous.
5. Excellent phone etiquette and interpersonal skills for effective communication with clients and colleagues.
6. A keen eye for detail and a commitment to maintaining high standards of accuracy in all tasks undertaken.
