We are recruiting for a medical secretary for our rehabilitation practice.

Prorated at 5- 20 hrs hours per week with the view of increasing to full time as required by the practice
9am to 5pm Monday to Friday with some flexibility on working hours, to suit parent or other obligations
Duties & Responsibilities
As a medical secretary to Healing Touch Rehab you will be required to:
Managing own diary
Remote working from your home
Support the Director in the undertaking of their duties, including:
• Proactively assigning tasks for completion
• Minute taking and assigning actions
• Managing calendar and appointments
• Anticipating future requirements for appointments and meetings
• Triaging email inbox for importance and urgency
• Be the first point of contact for enquiries
• Maintain company handbook
• Manage company IT admin accounts; users, passwords, HR (Sage)
• Collate and manage Client personal data
• Monitor Client reporting and tracking procedures
• Managing practice software and support client recording
• Proof reading, auditing and drafting clinical reports and costings
Support clinician’s CPD by:
• Researching relevant training courses
• Completing booking forms
• Keeping a log of all employee CPD to inform consultant annual appraisals
• Contributing to the development and implementation of policy, procedures and evaluation mechanisms to inform the quality enhancement of service delivery
• Maintain and manage an asset register for the company
Providing logistic support for clinicians and director for client appointments, training and meetings
• Assist in promoting the work of the company, including developing and maintaining relationships with members of the public, potential stakeholders and supporting services
• Liaise closely with other staff members and client liaison as required
Manage staff holidays in line with company policy
Support with the recruitment, selection, orientation, and training of new employees
• Manage the preparation of staff supervisions and appraisals
• Develop and support company’s online social media presence
• Complete any other reasonable duties that may be allocated from time to time commensurate with the grading of the post that may arise as internal policy and procedure develop

Excellent written and verbal communication skills

Experience of work in an administrative role
Experience of work in a logistical/supportive role
Good working knowledge of Office applications
Good working knowledge of online storage and management systems
Strong IT acumen
Excellent knowledge and understanding of GDPR and safe working practises
Experience of record keeping
