ROLE SUMMARY
* Manage WICO (Wine Connection) database for Ontario Operations including Wine and Whisky.
* Manage Import Wine receiving for Ontario Operations.
* Manage month end reporting for seven facilities.
RESPONSIBILITIES
Maintain WICO database to ensure accuracy & efficiency for Grimsby Wine and Whisky
* Ensure all winemaking movements are entered into WICO and guarantee accuracy.
* Review/troubleshoot data regularly and resolve information issues.
* Identify problems with wine specifications and analysis.
Manage Import Wine receiving into Wineries
* Working with Import Buyer and the Winemaking Tracking and Shipments report determine delivery dates for import wine shipments.
* Create & maintain delivery spreadsheet for Winemakers, cellars and QC lab.
* Coordinate with freight companies and cellar supervisor to arrange import wine deliveries in an organized and efficient manner.
* Liaison between freight dispatch and winemaking/cellars to provide up to date information on deliveries.
* Generate all receipt work tickets for deliveries.
Liaison between Ontario Winemaking and IT department
* Provide recommendations regarding operation and data retrieval in WICO to improve quality and/or production for Ontario Winemaking.
* Review, recommend and implement data entry procedures to aid winemaking and other departments.
Liaison between Winemaking and Accounting
* Produce and analyze departmental month ends for Grimsby, Trius, Thirty Bench, Peller, WGE Winery, Grimsby Distillery and WGE Distillery facilities.
* Identify and resolve problems within month end reports.
* Prepare alcohol usage reports for finance and winemaking – including month end alcohol excise report.
* Generate purchase orders for Winemaking and cellars.
* Audit, approve and code invoices for various materials received for winemaking.
* Receive purchase orders into Oracle upon receipt of materials.
Maintain Materials Inventory
* Assist with managing the materials database (National Ingredient List) including suppliers and pricing.
* Ensure accuracy of inventory.
* Order materials as required.
* Assist Procurement with Investigating suppliers to ensure cost efficient pricing and service to winemaking.
Administrative Assistance to Ontario Winemaking
* Organization and administrative assistance to winemaking and cellars with Harvest preparation.
* Develop and maintain all winemaking filing systems.
* Follows safe work procedures and practices and reports all unsafe working conditions/hazards to their reporting Manager.
REPORTING RELATIONSHIPS
* Reports to : Winemaker non VQA.
* A temporary contract position during harvest will directly report to the Winemaking Processing Technician.
* Direct Reports : none.
WORKING CONDITIONS
* Physical Effort – much of the time is spent sitting in a comfortable position with frequent opportunity to move.
* Physical Environment – Works in an office environment, provided with desk, chair, computer and all necessary work related supports.
* Substantial attention to detail and accuracy.
* Ability to meet multiple deadlines.
* Ability to prioritize busy workload.
