Salary £31,190 - £37,870 (salary band 3) dependent on experience
We are looking for a resourceful and motivated Studio Coordinator to join our team in London, E2.
Deadline: Thursday 14 November, but early applications are encouraged as we are looking for the successful candidate to start as soon as possible.
This is a varied role that requires flexibility, common sense, and positive energy. It is a full-time, office-based position, working alongside the Studio Manager to support the smooth running of the studio.
Daily and weekly tasks may include but are not limited to:
1. General admin and studio support
– Reception duties, including managing incoming phone calls/emails/post, booking transport and couriers, and greeting guests and visitors to the studio
– Assistance with meeting set up, refreshments and tidy up
– Monitoring general studio email accounts and taking action as necessary
– Stock control of print, stationery, toilets and kitchen supplies
– General administrative assistance to studio
2. Finance
– Monitor our accounts@ inbox
– Collect and save invoices/receipts to the server and Hubdoc; maintain Hubdoc
– Reconciliations in Xero
– Raise CPD lunch invoices
– Raise expense claims for directors
3. IT
– Liaising with our external IT service providers to process open tickets and follow up stalled tickets
– Assisting with the installation of computer hardware, software, and peripherals, including moving equipment around the studio
– Basic ICT troubleshooting
– Helping manage stocks of ICT equipment, consumables, and other supplies
4. Facilities
– Helping to keep the kitchen and other communal spaces safe and tidy
– Assisting in arrangement of facilities/equipment repairs as required
– Basic involvement in H&S processes
5. Other
– Coordinate weekly studio updates
– Attend and engage in internal social activities such as pin-ups, forums, and other studio events
Desired skills and experience
Prior studio support experience is preferred but not essential. The ideal candidate will be proactive, hands on, and be able to prioritise their workload to manage several tasks concurrently. A clear and polite phone manner along with good communications skills are essential.
