A Trainee Ships Agent plays a crucial role in supporting shipping operations while delivering efficient administrative assistance within a busy office environment. This role is essential to ensuring smooth port operations, fostering communication with key stakeholders, and handling a variety of office tasks.
Reporting to the Agency Manager and supported by the Business Unit Manager, the ideal candidate will be proactive, customer-focused, and adaptable. Strong interpersonal skills are important for building relationships with stakeholders, and the ability to adjust to shifting priorities is essential. This role may require occasional work outside of standard hours, and you will be trained to assist other departments as needed.

The Candidate;
Experience in shipping operations, maritime logistics, or office administration
Familiarity with port operations and maritime regulations is an advantage.
Previous experience in ship agency or a related maritime role is highly desirable
Strong organisational, multitasking, and communication skills.
Proficiency in Microsoft Office and shipping software.
Analytical thinking and attention to detail.
Ability to work independently and as part of a team.
Excellent communication and interpersonal skills, with the ability to build strong relationships with diverse stakeholders.
Highly organised, with the ability to manage multiple tasks and priorities in a fast-paced environment.
Duties and Responsibilities;
Assist in the coordination of vessel arrivals and departures, ensuring regulatory compliance.
Liaise with port authorities, customs, and shipping companies to ensure efficient cargo handling.
Prepare and submit key documentation, such as Bills of Lading and customs declarations.
Act as a point of contact for ship owners, charterers, and cargo interests during the shipping process.
Provide regular updates on vessel status and operational developments.
Assist in resolving issues related to vessel schedules and operational efficiency.
Develop contingency plans for unforeseen circumstances affecting port operations.
Maintain accurate records of transactions and communications.
Assist with preparing estimates and invoices for port-related services.
Work occasional out-of-hours shifts to meet the demands of vessel schedules.
Support cross-departmental collaboration by sharing information and assistance.
Contribute to onboarding and training new staff.
Assist with inventory control and cargo management.
Perform general office duties, including answering phones and filing.
Manage day-to-day office operations, such as data entry and document organisation.
Greet and assist visitors to the terminal.
Handle internal and external correspondence.
Help maintain up-to-date schedules and office calendars.
Support invoice processing and budgeting activities.
Train new staff on administrative procedures.
Ensure compliance with Environmental, Health, and Safety (EHS) policies.
